Litchfield Performing Arts, Inc., a 501C3 arts organization, is seeking a motivated self-starter to take charge of day-to-day operations of a 3-person office with several part timers. Under the guidance of the Executive Director. This person must have excellent attention to detail, written and oral skills and an ability to juggle multiple priorities. The organization presents Litchfield Jazz Festival and a multi-week Jazz Camp. The candidate must have COO-like skills to provide overview to the ED (there are bookeepers/auditors). Will oversee full-time, part-time and seasonal staff. Proficiency in the Microsoft Office Suite, a working knowledge of QuickBooks, and ability to create and maintain budgets a must.
Detailed Responsibilities:
Oversee administration of contracts for all programs.
Manage employees and contractors involved in Litchfield Jazz Festival.
Obtain permits and licenses.
Assist in vendor recruitment.
Monitor event ticket sales and liaise with outside ticketing agent. Provide timely reports to ED.
Help ED and board prepare and conduct annual events and fundraisers with development staffer.
Develop and maintain cash flows, expense projections, profit and loss statements.
Manage organizational timeline and stay in front of all deadlines.
Supervising full-time, seasonal and part-time staff. Recruit, train, and supervise summer interns.
Assist in database update and maintenance, including Constant Contact and Filemaker Pro.
Process information from onsite and online surveys using Survey Monkey.
Schedule, organize and coordinate with mail house on all company mailings.
Liaise with graphic designer and Executive Director to create ads, brochures and publications. Familiarity with Adobe Photoshop is very helpful.
Write and distribute monthly e-newsletter through constant contact.
Update website as necessary and coordinate with colleagues on social media posts.
