Summary of Position:
Lionsgate is currently seeking an Assistant reporting to the Head of Film Music.
Responsibilities:
• Provide administrative support to the Head of Film Music for Lionsgate Entertainment.
• Schedule appointments and meetings, arrange guest parking, prepare meeting facilities, manage computer and A/V resources.
• Answer phones, screen/log/place calls while maintaining and updating industry contacts for Department Head.
• Complete monthly expenses for Head of Film Music.
• Coordinate all music production-related travel (for Head of Film Music, filmmakers, executive music producers, scoring crews, music supervisors, music editors, lyricists).
• Coordinate work visas for international travel; liaise with immigration attorney to ensure visa paperwork is processed before scoring commences.
• Process all per diems (work with Business Affairs and Finance to process check requests for filmmakers, composers, music supervisors).
• Coordinate scheduling for creative meetings with record labels (potential soundtrack partners), artists and artist's management and filmmakers.
• Co-manage interns; coordinate interviewing prospective candidates for each semester and communicate with HR; teach interns phone protocol and general coverage of the Head of Film Music's desk as backup.
• Liaise with other LG departments to provide general music needs (track latest versions of soundtrack files and send to International, Executive etc.).
• Coordinate Dax access for Head of Film Music, composers, music supervisors and music editors.
• Coordinate posting of latest project assets and creative materials through Dax.
• Watermark and send scripts to composers, agents, music supervisors, record labels.
• Update script folders on the Server (manage the latest versions of scripts; liaise with Creative Executives and their staff for the most current versions of each script).
• Retrieve and keep track of the latest music files from soundtrack partners and publishers for soundtracks (maintain soundtrack folders on the server).
• Maintain updated project folders on the server (Travel, Demo/Creative submissions, Composer Bios and Reels).
• Attend 1-2 live shows per week (A&R, Industry relations, music research).
• Coordinate Music Partners list for premieres (composer guest lists, music supervisors, soundtrack artists, managers, label and publisher reps); ensure that all Soundtrack-related partners are invited and are in line with Publicity's ticket allotment.
• Work premieres (facilitate Music Soundtrack Talent invites, tickets from Will Call, escort carpet drop-off's and introduce talent to press if needed.
• Facilitate VIP concert ticket requests for LG executives via artist agencies and labels.
• Participate in general team meetings with music licensors and vendors.
• Coordinate secure files between composers (via their agents) and music editors through Post-Production and Editorial teams using FileRunner and Dax.
• Perform other related administrative and music clearance and licensing duties as assigned.
Experience & Skills:
• College education (BA).
• Music industry background.
• Have working knowledge of basic music synchronization clearance and licensing procedures.
• Must have good grammatical skills.
• Must be able to prioritize tasks in a high traffic, fast-paced environment.
• Must be able to pay close attention to detail, follow through, and be a self-starter.
• Must be well organized and be able to proofread all incoming and outgoing work.
• Must be able to communicate effectively and tactfully with all contacts.
• Must be able to handle confidential information.
• Must be able to work under constant deadlines.
• Must be willing to work as a team and be available to all department areas.
• Must have ability to perform research as required.
• Typing: 40 wpm.
• Windows PC proficient, with knowledge of Mac.
• Knowledge of Microsoft Word, Excel, Outlook.
• Knowledgeable with all music genres/styles.
