POSITION
Associate Director of Events & Fundraising, Planning and Development
Reporting to the Senior Director, Special Events and Planning and Development, this position manages, fundraises and supports many events; 10 major fundraising galas, approximately 60 events a year, ranging in size from cocktails for 15 to galas for 800+.
RESPONSIBILITIES
• Event execution responsibilities include but are not limited to:
• Schedule event dates in coordination with Lincoln Center for the Performing Arts (''LCPA''), Lincoln Center constituents, and when possible, other major NYC organizations
• Book event venues, book entertainment and/or secure performance tickets for each event
• Identify and research honorees, event leadership and donor prospects specific to each fundraising event or gala
• Work closely with event honorees and event leadership to develop and implement a fundraising plan, target donor prospects and incorporate their ideas for event elements (such as menu, décor, programming, etc.)
• Write text, communicate design direction and assist in the editing and review process of all event materials including but not limited to: event fact sheets, reply forms, solicitation letters, save-the-dates, invitations, events journals or programs
• Handle all event related solicitation mailings and coordinate and track follow-up to confirm support
• Schedule and oversee volunteers to execute save-the-date and invitation mailings
• Facilitate all data entry of event responses and track event income
• Compile and maintain guest lists for all prep meetings and actual events
• Develop and maintain event budgets and prepare financial reports
• Negotiate and manage contracts with venues, vendors and artists
• Conduct production meetings with caterers, event designers and venue contacts
• Work with caterers and florists to plan menus and event design concepts
• Provide on-site management of all events
• Train and manage volunteers at events
• Coordinate table assignments and venue seating
• Draft thank you letters, tax receipts for donors and invoices for outstanding monies
• Secure bills from all outside vendors for review and payment
• Specific management responsibilities and fundraising strategies related to different donor bases will vary on based on the event assigned; team members are expected to adapt and adjust as needed
• Assist and support on other team events as needed
• Assist and support all other department events and galas as needed
• Assist in the full range of day-to-day department operations
REQUIRED QUALIFICATIONS
• Bachelor's degree or equivalent combination of education and experience.
• Minimum of 6 years of experience in major fundraising galas.
• Extensive fundraising experience is a must.
• Excellent computer skills including Word, Excel and PowerPoint. Database experience essential.
• Excellent written and verbal communication skills.
• Detail-oriented, well-organized, with the ability to work autonomously and meet tight deadlines.
• Excellent flexibility and must be a team player.
• Ability to be hands-on with all aspects of event preparations and logistics.
• Must be able to multi-task and juggle many projects simultaneously.
• Ability to work effectively under pressure, be a creative thinker, and have the ability to take initiative.
• Ability to work extended hours and weekend work are necessary.
