Department: Programming
Reports to: Director of Programming and Presentations
Status: Non-Exempt
Summary:
The Programming Coordinator will be responsible for general administrative and programming duties related to all Kimmel Center presentations, productions, and events including the Philadelphia International Festival of the Arts (PIFA). This position will work closely with the Programming Specialist and Programming Manager to complete assigned tasks pertaining to the daily operations of the department.
Essential Functions:
• Assists the Programming Department with the general administration of presentations, production, and events including calendar confirmations, avails, gathering riders, ticket reporting, event coverage, and other needs as assigned.
• Manages and maintains the Upcoming Events Document for all departments.
• Manages the on-sale process, APO's, and calendar for all Kimmel Center Presents shows, co-presentations, and PIFA performances. Executes all ticket builds and acts as the primary department liaison for all ticketing issues related to KCP engagements.
• Assists Director of Programming and Presentations in ticketing set ups for Broadway season.
• Assists with show duty as assigned and works collaboratively with the Kimmel Center staff and artists to ensure all needs are met for each engagement. Provides performance coverage support when needed.
• Assists in show settlements and expense reconciliations with Finance.
• Assists in artist booking and event management process for Kimmel Center special projects such as Jerry Blavat and Broadway Dreams.
• Coordinates with audience development initiatives, PIFA projects and special projects as identified by the Artistic Director.
• Provides research and analysis to Programming staff when needed.
• Creates draft of monthly board report for Artistic Director.
• Assists in the creation and submission of Payment Authorizations for department when needed.
• Gathers all necessary marketing and Showcase materials from agents and artists and distribute them to the Marketing department as needed. Gathers all necessary programming information and distributes it to the Development department as needed.
• Works with Event Manager to insure artist rider requirements are satisfied. Assists Event Manager at Organ concerts, film series, free events, and Philadanco performances when necessary.
• Serves as a liaison to the Education Department and Development Departments, executing their ticketing set ups.
• Represents the Programming Department on the Social Media Task Force.
• Creates updates and maintains engagement history and artist tracking spreadsheets.
• Handles all PollStar reporting.
• Supports Programming staff as needed.
• Aligns customer service within the standards and practices of Kimmel Center Inc.
• Other duties as assigned.
Education and Experience
• Bachelor's degree in related area required
• A minimum of two years of working experience in administrative assistant capacity
Knowledge/Skills/Abilities
• Proficiency in MS Office, especially Word, PowerPoint, and Excel
• Excellent communication skills.
• Extremely detail oriented team player with the ability to multitask
• Strong organizational skills
• Experience with performing arts
Environment, Physical Demands, and Other Conditions
• Office environment
• Position requires work on occasional nights/weekends for performances or events as needed
