Job Requirements:
The International Academy of Television Arts & Sciences, which currently has a full-time staff of 10 people, is seeking a hands-on Office Coordinator. This position reports to the Executive Assistant.
Essential Job Functions: administration and logistics related to keeping the office running smoothly and assisting various members of the team. This includes but is not limited to:
- Answering and screening phones, proper phone etiquette a must
- Greeting global media executives and high profile clients with ease
- Order all office supplies in a timely fashion
- Assist the Executive Director when needed
- Maintain, update, and create general office documents (Microsoft Excel, Word, and PowerPoint a must, experience with Filemaker Pro and Prezi a plus)
- Liaison with off- site tech team when tech issues occur, troubleshooting skills and patience essential
- Production assistance during events, including the International Emmy Awards
- Liaison with staff regarding events and supplies
- Move easily between different departments when projects require extra assistance
- Be comfortable with mailings, both domestic and international - (eg. FedEx, TNT, USPS)
- Distribute mail daily
- Liaison with building personnel (e.g. mailroom, engineering, security)
- Keep office clean and up to-date (e.g. Have light bulbs changed when needed)
The ideal candidate should:
• Be computer proficient, and comfortable with Outlook, Word, Excel, & PowerPoint
• Have excellent communication and organizational skills
• Have excellent grammar and writing skills
• Be detail oriented
• Be able to multi-task
• Be able to work under pressure
• Be proactive and team oriented
• Have a ''no job too big or too small'' attitude
Experience with membership-based organizations, and/or an interest in television and international affairs are helpful. Cultural sensitivity is necessary and knowledge of additional languages is a plus.
