The role of the Receptionist is to support the front desk of an extremely busy creative agency of 250+ employees. Duties include managing heavy phones, assisting in administrative duties for other departments, ensuring that guests are welcomed and signed in at the front following all company policies regarding security, and effectively communicating messages and deliveries to appropriate department/employees.
Responsibilities:
• Ensure visitors and callers are greeted in a professional, courteous and welcoming manner
• Sign in visitors and assign a vistor pass, scan photo IDs, ensure the visitor is escorted at all times
• Receive and distribute incoming mail and faxes, including highly secure and confidential materials that must be signed in at reception as well as ensure that outgoing mail is deposited with the postal service
• Assist guest services agent with employee lunch and dinner orders
• Ensure that an adequate inventory of office supplies is on hand by taking a monthly accounting and creating a request for supplies, then place all orders and distribute supplies when received
• Responsible for helping the operations and facilities team with daily office upkeep ensuring the office is orderly and tidy at all times
• Assist with various projects the office manager may have on a daily basis
Qualifications:
• Ability to interact comfortably and effectively with employees of our company at all levels as well as clients
• Self-motivated, proactive, and resourceful
• Excellent follow-through and attention to detail
• Flexible - able to adjust to changing priorities, and able to multi-task
• Excellent customer service skills
• Exceptional organization and time management skills
• Strong proficiency and working knowledge of Microsoft Office Products
• Ability to exercise discretion when patching calls, rolling calls, and interrupting meetings
An ideal candidate is smart, organized, adaptable, able to work in a fast paced environment, and very proactive. Someone with interest in marketing and/or post production with a related undergraduate degree is preferred. Previous agency experience is preferred.
