The Receptionist is expected to handle phones, ensure that guests are welcomed, follow all Company policies, and effectively communicate messages and deliveries to appropriate departments/employees. Additionally, the Receptionist will have to coordinate with other departments to pick up mail, escort clients or guests, and ensure the office is stocked and organized; as well as, to serve as a general assistant to undertake whatever basic tasks are required to ensure the organization is running smoothly.
Essential Functions & Responsibilities
• Maintain all Company policies, especially vigilance with security policies
• Ensure that all messages, faxes, and deliveries are relayed accurately and promptly
• Maintain and keep the reception and waiting areas tidy at all times
• Maintain a tidy and professional dress manner
• Answer telephone and forward all incoming calls
• Sign in all elements and mail packages, as well as immediately notify the vault
• Messages are checked from the answering machine first thing in the morning/shift
• Messages should be left in the evening for any items that will be handled by the morning receptionist/office manager
• During shift change all outstanding items need to be discussed with the receptionists & operations manager
• Ensure all mail is delivered promptly
• Make sure all outgoing packages are picked up and delivered when requested
• Organize and order authorized office supplies
• Order lunch/dinner for the authorized employees; maintain the menu book; follow up on orders as necessary with employees and restaurants
• Handle all matters in a professional and courteous manner
• Collaborate with other departments
Qualifications & Skills
• Bachelor's degree required
• Experience in customer service is a must
• Ability to conduct all matters in a professional and courteous manner
• Demonstrated ability to handle multiple tasks at once
• Ability to work collaboratively
• Strong written and verbal communication skills
