Summary: The Box Office Assistant Manager manages the daily operations of the State Theatre box office, with a client and customer service focus. Manages all ticketing aspects of Pantages Theatre events. Provides team-oriented leadership to full-time Box Office Associates. Resolves all customer, client, staff and technical challenges as part of the box office leadership team.
Responsibilities:
• Ensures smooth operation of daily Box Office functions including managing full time Box Office Associates, accurate daily balancing of Box Office sales in accordance with the TicketMaster ticketing system and HTG's Finance Department; promptly resolves any problems including chargebacks; orders change and maintains Box Office banks; oversees the daily upkeep of the Box Office including filing, cleaning, repairs and maintenance by utilizing Box Office Associates;
• Ensures accurate and timely daily sales reporting, while maintaining proper confidentiality
• Manages shows at Pantages primarily; at times may manage shows at the State and Orpheum as well. Works with Broadway Performance Manager to ensure staff and Broadway Season show needs are met;
• Assists Broadway Performance Manager with projects related to the Broadway season. Provides backup in ticket management and managing Broadway performances;
• Sets up shows on Ticketmaster; Uses Ticketmaster Classic and Archtics;
• Works with Ticketmaster to design reports to meet Box Office needs; ensures replacement or repair of hardware/equipment as needed; coordinates installation and training on new hardware and software upgrades;
• Manages ticket inventory on all shows and sends reminders of held tickets and sales reports as needed;
• Ensures proper management of the Box Office during shows and resolves all ticketing problems quickly with a focus on HTG's policy towards strong customer service;
• Hires, supervises, disciplines and trains part-time box office staff as part of box office team; ensures proper orientation to HTG policies and standards and Box Office procedures;
• Maintains and updates written procedures and training materials; keeps comprehensive records of policy and procedures;
• Provides yearly reviews to direct reports and a 90-day review to new hires; quickly addresses employee complaints; disciplines employees in accordance with HTG's policies and procedures as needed; updates employee files in writing on all relevant incidents and processes all human resource issues in accordance with HTG policies;
• Maintains and tracks Box Office archives including event records, sales statistics, Box Office deposit and Journal activity archives; develops systems for easily accessing this information as needed;
• Performs other duties as assigned.
QUALIFICATIONS AND EXPERIENCE
• 4 year college degree OR equivalent combination of education and experience required.
• Previous supervisory experience required.
• Box Office/Ticketing experience required.
• Proven strong customer service experience required.
• Previous experience handling cash required.
• Accounting and financial experience preferred
• Working knowledge of Ticketmaster classic and Archtics preferred
