Full Time Job
This position will support the Chief Operating Officer in finance, operations, and office management. The ideal candidate will be hard working, organized, and detail-oriented. Experience with QuickBooks, computer troubleshooting, and office management is preferred. This is an excellent opportunity for individuals eventually planning to attend business school or run their own business in the future.
Responsibilities include:
• Invoicing clients on monthly, project, and reimbursable bases
• Reconciling corporate credit cards
• Paying bills and managing incoming payments
• IT support and troubleshooting, outsourcing to IT team as needed
• Setting up new employees including paperwork, computer set up, phone lines (landline and cellular)
• Managing employee medical and dental/vision insurance plans
• Adjusting cellular phone plans for travel, new hires, etc.
• Stocking and refilling office supplies, beverages, and snacks
• Ordering office stationary (business cards, checks, envelopes)
• Overall office management (i.e. AC service, cable repairs, ordering keys, etc.)
• Managing magazine and newspaper subscriptions
• Maintaining internal office documents (new business, client, account staffing, contact lists, outstanding proposals, logins & passwords)
• General office upkeep
• Managing ingoing and outgoing mail
• Seeking and screening interns
• Receiving office guests
• Handling hire and termination paperwork (I9, W4, NDA)
