We are seeking an Executive Assistant for our Business and Legal Affairs team. The ideal candidate will be accustomed to supporting several high-level executives and will possess the ability to manage multiple tasks simultaneously. The successful candidate can effectively balance changing demands, function under pressure within tight deadlines and be self-sufficient. Outstanding organizational and communication skills are essential. In addition, the Executive Assistant will be able to build collaborative relationships with the other executives and assistants throughout the company. A high level of professionalism and confidentiality is required in this role. This position will be a Temp with potential for Full-Time Hire.
Responsibilities:
• Schedule appointments, maintain and update SVP Business & Legal (B&LA) and VP B&LA daily calendars and call sheets.
• Answer telephones, screen calls, roll calls, take messages, respond to internal and external inquiries and provide routine information within scope of authority.
• Schedule, coordinate and confirm conference calls and meetings and ensure the executives are prepared for relevant agenda items.
• Arrange travel itineraries and prepare travel and expense reports.
• Open, review, route and disseminate interoffice and external mail, distribute correspondence and other material to department staff.
• Establish and maintain records and files for SVP and VP. Review, sort and file a variety of materials.
• Assist with special projects and provide general office support such as copying and faxing.
• Manage office shared drives.
• May be asked to take notes on key calls and assist with data entry on entertainment rights management system.
Requirements:
• Experience providing administrative support to executive-level professionals. Previous legal, agency or entertainment experience preferred.
• College degree preferred.
• Strong written and verbal communication skills, proactive follow up skills
• Professional presence, good judgment, ability to anticipate needs
• Proficiency with Word, Excel, PowerPoint, Outlook
• Must be highly organized, detail oriented, personable and a problem solver.
• Must have the legal right to work in the United States.
