The Digital Production & Resource Coordinator serves as an extension to the Production team. This position is within the Content Services department and reports to the Director of Content Services.
The ideal candidate is expected to assist Producers in enhancing the department and organization's reputation by fulfilling first class video production services. The production coordinator will be responsible for handling the logistics involved in the video production process. This is achieved by supporting the Producers with managing schedules, timelines and oversight of the production cycle to create and deliver successful projects.
This role will, on a daily basis, collaborate with other team members and stakeholders, including, Clients, Art Directors, Motion Designers, Illustrators, Business Executives and other internal/external stakeholders in order to define the scope of projects, to support the production of those projects and to manage successful delivery.
Client satisfaction and creative quality should be exceptional and the communication process seamless and efficient. The production of a project should be smooth and organization clear, therefore reducing misunderstandings and unneeded overage of project budgets.
NOTE: THIS IS NOT A CREATIVE ROLE. THIS POSITION REQUIRES A LOT OF DATA/TIMELINE ENTRY WITHIN OUR PROJECT MANAGEMENT SYSTEM.
Essential Job Duties & Responsibilities:
Supports Producers to ensure projects meet customer goals and requirements within project timelines and cost constraints.
Works hand-in-hand with Producers by assisting in requirements gathering, customer branding, customer style/tone, asset requests, resource allocation, scheduling, approvals, quality issues, change requests and escalations.
Sets and manages project milestones and deliverable schedules and regularly tracks work against defined schedules.
Leads the day-to-day management of projects within the workflow database including file archiving.
Interacts with the Customer Success Teams to keep them up to date on project status.
Manages internal and external approval processes.
Quickly assesses problem situations to identify causes, gathers relevant information and makes recommendations to resolve problems in a timely manner.
Diligently keeps all workforce management and reporting tools up-to-date with the most accurate information and project status to enable key leaders to make important business decisions.
Preferred Knowledge, Skills, & Abilities:
Experience in gathering and scoping customer requirements, ensuring customer expectations are well-defined, comprehensively conveyed to the production team and delivered upon in the final product.
Process-driven but flexible.
Demonstrated ability to handle multiple projects simultaneously that are in different stages of production and meet the unique needs of each project.
Understands the important difference between creative subjectivity and objectivity when assessing scope changes, edits and quality issues.
Ability to estimate resources and hours needed to complete work by defining all needed tasks.
Excellent interpersonal skills with the ability to work both independently and within a dynamic team.
Strong meeting skills, with the ability to work professionally with the internal and external stakeholders.
Working knowledge in post-production/creative suite applications.
Education and Experience Required:
Minimum of 1-2 years of production experience as a Production Coordinator or Junior Producer.
A positive team player who is comfortable sharing ideas, collaborating with others to achieve shared goals, motivates team members and shows a willingness to help out peers when needed.
Demonstrated knowledge of working within a video production team.
Highly organized and team-oriented.
Familiarity with design methodologies and tools.
Excellent verbal, written, presentation and interpersonal communication skills.
Strong attention to detail and focus on task completion is critical.
Must have a positive attitude (if you're funny, even better).
Ability to manage stress in high-pressure situations and not let others ''see you sweat''.
Must possess self-awareness to ask for help when needed and be prepared with solutions.
