Details: Executive Assistant with an interest in Marketing

G.R.A.C.E. is a marketing firm with offices in Los Angeles and New York specializing in culture marketing. Our primary focus is in the areas of music, entertainment, fashion and art. We are innovative, creative, professional yet relaxed and are looking for a great candidate to add to our Los Angeles office.

Mid - level Executive Assistant that reports to the Vice President of the company. Previous experience as an executive assistant is required. Experience in the music or entertainment industry is preferred, but not a must.

Essential Duties Include:
. Organizing/arranging conference calls, meetings and calendars
. Booking travel and hotel arrangements as needed
. General office duties such as answering phones, emails, typing, filing, flow of correspondence, faxing, expenses, etc.
. Coordinating materials for meetings, print outs, books, etc.
. Liaising with New York office as necessary and maintaining effective working relationships with all levels of personnel, clients, and business associates
. Concierge for guests and visitors
. Other related duties and special projects as assigned

Qualifications
. Must be detail oriented and possess excellent organization skills
. Must be able to work independently as well as part of a team environment
. Advanced MS Office technical skills are required including, MS Word, MS PowerPoint and Photoshop
. Ability to perform work requiring speed and accuracy
. Must possess excellent verbal and written communication skills
. Ability to coordinate diverse activities simultaneously within stringent time frames
. Ability to exercise considerable judgment, discretion and diplomacy
. Proven ability to handle multiple projects simultaneously with strict attention to detail while maintaining professionalism and meeting deadlines
. Superior presentation skills
. Superior organization skills
. Self-motivated, open to coaching and direction
. A team contributor who enjoys being part of a dynamic group
