Global Scenic a manufacturer of theatrical scenery has an opening for a Purchasing Agent. The Purchasing Agent is essential to the smooth operation of Global's production floor, managing the research and acquisition of project and facility related materials through the purchase order process with a focus on securing the best pricing possible in the required time frame and maintaining vendor relations.
Responsibilities Include:
- The candidate must be able to move a purchase request through the research process to purchase order, gain necessary approvals and ultimately place and track every order until receipt.
- The candidate will be responsible for, by confirming with the Inventory department, onsite inventory prior to ordering additional materials.
- Locate the ''best'' vendor for the purchase of items with consideration of price, availability, delivery costs, schedule and GSS's experience working with both the material and vendor in the past.
- The candidate must be able to control the entire purchasing process including:
o Generate a purchase order using Quickbooks:
o Acquire signature from the GSS team member who submitted the request
o Verify the team members' authority to request per the Purchasing policy.
o Obtain owner approval for all orders prior to ordering
o Submit purchase order to vendor.
o Distribute final purchase order to all applicable personnel.
o Track shipments, including international shipments.
o Assist in the matching of receiving documents to purchase orders upon receipt of goods.
- Request Mill Certs, MSDSs and Flame Certs and Samples at the time of purchase, if required.
- Ability to communicate with originators and shop floor throughout the purchase order process updating them on information obtained through the search of items including changes required due to pricing, availability and updated delivery times.
- If received materials are unacceptable or items are back ordered, work with vendor for satisfactory completion of purchase order and inform appropriate personnel.
- Assist Accounts Payable with receiving items in Quickbooks, coverage of receptionist duties, and general office maintenance.
- Update Bid Price List with pricing information, recent quotes and purchases.
- Review and negotiate vendor terms.
- Coordinate the sale of old project materials and stock inventory.
- In conjunction with the Shipping manager and Inventory, coordinate maintenance for GSS equipment.
- Advise GSS of new products that may be applicable to our business and arrange for salesmen visits that include product demos and samples.
We are looking for a self-motivated person who is experienced in Quickbooks, has experience in the scenery construction field, and who likes to find new solutions to old problems. The person must be able to follow procedure without deviation and be able to work in all types of conditions.
Salary is DOE.
