Description
Office Manager and Executive Assistant | Global Eagle Entertainment Inc.
Job Overview
The Office Manager and Executive Assistant provides clerical support for our busy organization and the General Counsel. Ideally this candidate will have several years’ experience with solid project management skills and should be not just flexible but fluid in their ability adapt to changing priorities. The incumbent will be responsible for the creation of high level documents that range from business correspondence, to complex excel spreadsheets as well as travel and calendar management for this C-level executive and must use their exceptional communication skills to protect the executive’s time while still ensuring continued work flow throughout the organization.
Key responsibilities
• First point of contact to all general public inquiries including answering multi- line telephone, screening and directing calls as appropriate
• Provides customer service and addresses questions from internal and external customers
• Takes and relays messages, filtering calls as necessary
• Greets guests visiting the corporate office escorting them to meeting rooms and ensuring they are met by the respective parties.
• Regularly maintains the master company contact sheets
• Receives and sorts mail and deliveries
• Maintains all general office areas including break room, supply room, training rooms, conference rooms and kitchen.
• Maintains general supply inventory and orders necessary supplies.
• As needed assists in maintain the busy calendar for the General Counsel - resolving scheduling conflicts, prioritizing calendar events and communicating urgent requests or changes to the appropriate parties; coordination of travel arrangements.
• Provides multi-faceted clerical support for the General Counsel.
• Excellent written, verbal and interpersonal communication skills to assure successful interaction with high level executives, clients, business associates, and employees
• As needed will attend meetings with the legal team, recording the discussion and disposition of all matters while ensuring the highest level of confidentiality
• Demonstrated ability to manage time wisely, prioritize effectively in a fast-paced environment, meet deadlines, and follow instructions.
• Demonstrated ability to apply reasoning, diplomacy, and judgment in problem solving.
• Ability to work effectively in a team environment
• Maintain to handle confidential and sensitive information
• Ability to exercise good judgment and personal and professional discretion
• Ability to work with limited supervision and work well under pressure in a fast-paced environment
Work Environment
• This job operates in a professional office environment.
• The role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.
• The job requires the ability to use a keyboard to enter and retrieve data.
Physical Demands

• While performing the duties of this job, the mobility for the employee regularly requires sitting, frequent near vision use for reading and computer, lifting, stooping, bending, stretching, walking, standing, pushing, pulling, reaching and other physical exertion.
• The employee is regularly required to talk and hear.
• Lifting and/or carrying of up to 25 lbs.
Qualifications
• Bachelor’s Degree preferred
• Six plus years’ experience in an administrative function
• Prior experience supporting C-level executives is preferred
• A self-starter with ability to anticipate issues and proactively problem-solve
• Proven experience in multi-tasking and working with multiple people and priorities
• Excellent PC knowledge - Proficient in Microsoft Office Suite - Word, Outlook, Adobe Acrobat Pro PowerPoint, and Excel
• Excellent attention to detail and follow-through skills
• Strong organizational and filing skills
• Positive attitude and strong work ethic
• Strict attention to detail; accurate and organized while able to prioritize appropriately.
• Outstanding time-management and typing skills.
• Excellent interpersonal skills with the ability to work well under the pressures of deadlines, prioritize and multi-task, and have the ability to move from one project to another.
• Ability to effectively and maturely communicate and collaborate with lawyers, clients and staff.
