Role Summary:
We are looking for a highly experienced and seasoned Executive Assistant. The Executive Assistant will be responsible for handling both executive and personal assistant duties. He/she will ensure that the office of the CEO & President, CSO operates in an efficient and effective manner by supporting heavy and ever changing calendar management, receiving a high volume of phone calls, responding to emails in a timely fashion, drafting thank you notes, and being flexible for other tasks as they arise. The incumbent should be accustomed to working in a fast paced environment.
The Executive Assistant must possess exceptional verbal and written communication skills, tact and diplomacy, and exemplary time management skills.
KEY RESPONSIBILITIES
• Assist with daily activities and projects for the CEO & President, CSO
• Manage and assist on travel coordination
• Manage and maintain executives' schedules, appointments and travel arrangements
• Arrange and coordinate meetings and events
• Manage and monitor scheduling for CEO & President, CSO and staff
• Critical interface with CEO’s guests, clients & colleagues
• Collaborate with Executive team members to create a smooth work flow and meet deadlines
• Monitor email correspondence to CEO & President, CSO and traffic accordingly
• Follow up on action items
• Prepare and edit business correspondence, communications, presentations and other documents
• Perform professional and personal errands as needed
• Maintain an effective filing system
• Transcribe materials as needed
• Prepare and edit correspondence, communications, presentations and other documents
• File and retrieve documents and reference materials
• Conduct research, collect and analyze data to prepare reports and documents
• Record, transcribe and distribute minutes of meetings
• Travel as required
• Other duties as assigned
SKILLS:
• Comfortable working in an entrepreneurial atmosphere
• Must be extremely organized and able to coordinate several different projects at the same time
• Intermediate to advanced computer skills in Excel, Word and Outlook
• Proven ability to remain flexible in the work environment and manage multiple priorities under time constraints in a fast paced environment, with an attention to detail
• Exceptional oral and written communication skills
• Highest degree of confidentiality, tact and diplomacy required
• Ability to be pro-active and detail-oriented: must work successfully under pressure and handle all situations with the highest degree of professionalism
• Ability to work independently and as part of a team
• Level headed decision making abilities
• Ability to work under high demands and expectations
• Ability to work non-traditional hours during peak seasons which usually occurs 4 times per year
• Maintain professionalism, including phone etiquette, manners, appearance, attitude
• Analyze problems and help with solutions
QUALIFICATIONS
• Bachelors’ degree and strong academic credential preferred
• Minimum five years’ experience in support position to President and C- level or executive-level personnel
