Assist Managing Director and Director of Company in all day to day responsibilities and activities. The company is a fast paced marketing firm, with nationally recognized cutting edge clients. We are looking for energetic, self-motivated individuals who want to grow with us. You must be computer savvy and have excellent communication skills and the ability to work in a faced paced environment, in addition to knowledge of New York City.
General Job Description:
• Support the Executives in all facets of their duties and responsibilities
• Coordinate heavy calendars, scheduling and expense reports
• Coordinate logistics and execution of conference calls and meetings
• Coordinate frequent U.S. and international travel
• Answer and screen a high volume of telephone calls and concierge for direct visitors
• Maintaining company schedules as they relate to vacation, company travel and daily meetings
• Liaising with the Los Angeles office to maintain effective working relations with all levels of personnel, clients and business associates
• Coordinate recap reports for meetings and special events
• Coordinate materials and agendas for meetings
• Prepare correspondence (memos, emails) as required
• Provide administrative and office support activities for Executives
• Oversee company interns
• Maintaining and ordering office supplies and equipment
• Assist with the management of technical support and upkeep
• Assist with HR as needed
• Assist with staff recruitment and development
• Attending any required brand training and other staff related meetings
• Maintain knowledge of pop culture happenings through the web, magazines and industry events, relationships, etc. as it relates to the position
An ideal candidate should have:
• Four year degree required
• Must have 3+ years experience working as an executive assistant to a senior level executive
• Proficient in all Microsoft Office software including Outlook, Power Point, Excel and Word as well as Photoshop and Image Ready
• Possess a strong work ethic and strong organization skills
• Highly organized and enjoys creating and maintaining office systems
• Takes initiative on projects and is efficient with follow up
• Excellent communication skills (both written and verbal)
• Ability to problem solve and multi-task while working in a fast-paced environment
• Ability to coordinate multiple projects simultaneously with strict attention to detail while maintaining professionalism and meeting deadlines
• Handle confidential matters appropriately and with discretion
• Works well on a team
• Genuinely passionate about office management and executive assisting
