Full Time Job
Under general supervision, the Project Coordinator provides administrative support to the Senior Vice President of Facilities and Construction and his direct reports, including but not limited to one Vice President, one Executive Director, and two Directors. Responsibilities include executing details of various tasks to allow management to focus on the larger scope of facilities and construction projects for all FNG-controlled buildings.
Responsibilities
• Establishes, develops, maintains, and updates filing system for the SVP and the department and retrieves information from files when needed. Files include: drawings, leases, purchase contracts and vendor agreements.
• Organizes and prioritizes large volume of information and calls. Opens mail for the SVP, drafts written responses or replies by phone or email when necessary, responds to regularly occurring requests for information.
• Answers the phone for the SVP and department when needed, takes messages or fields/answers all routine and non-routine questions and works in cooperation with other divisional administrative assistants to cover phones for executives.
• Reviews leases and real estate use contracts – writes summary of key terms and conditions. Looks for consistency and anomalies among FNG-controlled properties.
• Processes and codes all billing and invoices received by the SVP and department for all FNG-controlled locations. In addition, follows up with finance for certain billing issues.
• Creates and updates vendor profiles and processes purchase orders.
• Additional tasks as assigned.
Qualifications:
• High school diploma or equivalent. Four or more years of experience supporting a high-level executive.
• Must have strong verbal and written communication skills, and the aptitude to communicate with all levels of management.
• Must be able to perform basic math skills as they relate to creating expense reports.
• Working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Outlook and Internet Explorer are required.
• The ability to work somewhat independently and be resourceful is favored.
• The model candidate must be comfortable working in a fast-paced environment with attention to detail, accuracy and excellent follow-up. Familiarity with real estate agreements is a plus.
