Office Manager & Operations Planner (Home Team Sports – New York, NY 10017)
The Office Manager & Operations Planner is responsible for organizing, planning, coordinating, and executing a variety of tasks that involve the day to day, special, and Operational projects relating to revenue generation. These responsibilities encompass a combination of special projects and management tasks for Home Team Sports(HTS) New York, and HTS Corporate Operational mandates out of Los Angeles. This position will report directly to the SVP of Sales with a dotted line report to the VP of Operations. In addition to coordinating all special projects, this position will have some light administrative duties specifically for the SVP of Sales.
Responsibilities
• Assembles (and periodically create) effective presentations for prospects and current clients focused on creative concepts.
• Updates and maintains a concept folder for entire group. Remain current on all relevant sports topics, production issues, and events in order to assemble packages.
• Participates in lead generation, prospect research, and account tracking.
• Provides outstanding communication with the external clients as well as the Sales Team.
• Supplies key documents, information, and news to all company partners.
• Administers forms for HR, Finance & Corporate functions.
• Composes and types routine company correspondence.
• Files correspondence and other records.
• Composes, locates, and/or attaches appropriate file correspondence to be answered by executive.
• Assists executive in some administrative details including phone, scheduling appointments, expense reports, and travel (some material of a confidential nature.
• Performs some sales Operations duties such as billing and forecasting reports.
• Organizes company events, trips, and meetings.
• Maintains company website including vendor management and updating relevant content.
• Manages the Spotlight and ticket allocation process and responsible for procuring event specific merchandise and premiums for sales usage.
• Works with VP of Operations in strategic project planning, implementation, and expense tracking.
Qualifications:
• College degree required; a Bachelor's degree is strongly preferred
• A minimum of 2-3 years experience in a sales environment as an administrative assistant and in a sales planning capacity
• Background in assisting sales executives is strongly preferred
• Good written and verbal communication skills
• Basic math skills are necessary
• Knowledge of Microsoft Office Applications, including Outlook, Word, PowerPoint and Excel
• Good organizational and project management skills
• Pleasant and professional telephone and personal demeanor is necessary
• Ability to quickly learn and retain custom software for sales functions (order entry, forecasting)
• Good organizational and project management skills is required
