Full Time Job
Under the direct supervision of the VP, Special Event Production, Creative Services Group this position will provide administrative support to the CSG overall. Will be responsible for overseeing all accounts payable for the entire CSG department, overseeing and managing budget reports, reconciling budgets, producing recaps, working with vendors on payment processing and other duties as assigned.
Responsibilities
• Process invoices for all Creative Services Group projects, reconcile final bills, and oversee budget work-ups and recaps.
• Ensure that all invoices are tracked and paid via the Workflow system.
• Ensure that invoices match internal records, discover any items that may need to be disputed, contact hotels and vendors to discuss removal or modification of charges.
• Create cover sheets displaying all invoiced items along with the proper charge code.
• Track any deposits paid and deduct them from final bills.
• Enter finalized numbers into budget recaps to ensure that budgets are actively managed and recap documents are accurate and current.
• Maintain accurate and up-to-date database of current and past budgets.
• Process Interdepartmental Chargebacks.
• Process Expense reports and meeting cards.
• Process freelance crew payroll.
• Produce recaps for all events and projects.
Qualifications:
• This position requires a Bachelor's degree. A minimum of 2-3 years financial/accounting/budgeting experience is necessary.
• Excellent written and oral communication skills are essential, including a demonstrated ability to work effectively with diverse groups of people.
• Excellent organizational and project management skills are required.
• Must be able to prioritize multiple projects simultaneously and continue to manage daily administrative duties.
• Thorough knowledge of Microsoft Office applications, including Word, Excel, and Outlook is required.
• The ability to work overtime is necessary.
• The ability to multitask and work effectively with changing priorities and deadlines is essential.
