Executive Assistant, Domestic Distribution - Sales
Calabasas, CA
The Domestic Distribution Executive Assistant is responsible for all daily administrative duties required in assisting the VP Central Division Manager in Domestic Theatrical Distribution. Also provides overall service support to both divisions operating out of the West Coast Regional Office.
Provide administrative assistance and key organizational support such as:
• Maintain Database for all Trade Screenings and Special Correspondence used to notify Exhibitors throughout the U.S. and CANADA.
• Create and send trade screening letters through web-based registration program, etouches.
• File and retrieve corporate documents, such as Non-Disclosure Agreements required to attend trade screenings.
• Coordinate and distribute information needed by managers for travel to trade screenings and aid other assistants in arrangements.
• Maintain accurate release schedule for Division Managers and Directors of Sales.
• Generate reports on a film by film basis for Division Manager to assist in analyzing distribution results for that film and applying to future releases.
• Monitor and assist the VP/DM in tracking expense reports for approvals as submitted by the Directors of Sales.
• Production of School Calendar twice each year showing school holidays, intersessions and begin and end dates.
• Maintain and update Division Manager contact lists and appointments.
• Produce as needed reports from Rentrak, Falcon and Bluebird including theatre annual grosses, film rental aggregates, etc.
• Create and format Excel spreadsheets for Division Manager as needed.
• Coordinating marketing materials with Director of Sales and in theatre marketing for hand placement in key theatres for local deliveries.
• Answer and manage the sizeable number of phone calls for Division Managers, prioritizing their importance through knowledge of exhibitors, vendors and Fox Executives.
Qualifications:
• A college degree preferred, but not essential
• Previous film industry experience preferred, but not mandatory
• Extremely detail oriented and organized
• Professional phone demeanor
• Superior oral & written communication skills
• Maintain confidentiality with sensitive information and materials
• Strong computer skills. Proficiency in Microsoft applications including Outlook, Excel, Word and PowerPoint. General knowledge
of the box office tracking website, Rentrak desired. Experience with Adobe Acrobat and HTML a plus
• Passionate about the Film Business and Entertainment desired, but not required
