The Executive Assistant for National Geographic Partners (NGP) will provide administrative support to the Editor-in-Chief of National Geographic Traveler (NGT). This Executive Assistant will manage the Editor-In-Chief's calendar and organize meetings with groups including all Travel divisions, NGT publishing and marketing divisions, the Digital group, National Geographic Magazine, and National Geographic Society. The Executive Assistant will be the main point of contact for anyone needing to reach or meet with the Editor-in-Chief.
This position will be responsible for scheduling meetings and scrums, managing contracts, handling the Editor-in-Chief's email correspondence, assisting with travel itinerary and logistical planning, and serve as a liaison between the Editor-in-Chief and his direct reports. When time and opportunity permit, the Executive Assistant will also assist with editorial duties that include content research, generation, and production for National Geographic Travel platforms.
Responsibilities
• Manage calendars and organize meetings. Act as the main point of contact for anyone needing to reach or meet with the Editor-in-Chief and his direct reports.
• Assist in the preparation for meetings by compiling necessary materials in advance.
• Coordinate and arrange travel for conferences, talks, partnership meetings, etc.
• Communicate scheduling and key information to relevant parties.
• Communicate, coordinate, maintain schedules and correspondence within NGP parties, including: Content teams, publishing teams, advertising teams, marketing/PR teams, business development teams, Expeditions/travel teams, new initiatives teams, etc.
• Work with the magazine staff and digital/social teams to prepare and manage contracts for content.
• Alternate between the print and digital teams in order to coordinate and assist with scheduling and production.
• Assist with generation and production of visual and written presentations (PowerPoint).
• Assist content editors and producers with tasks as needed.
• Assist web producers with CMS production as needed.
• Help keep the office running smoothly (order office supplies, provide support to new hires, etc.).
• Assist with HR procedures for new hires.
• Coordinate with other departments for repairs and technical issues.
• Track departmental spending, and keep staff updated on budget balances.
• Assist Editor-in-Chief, Digital, Directors of Content and Production with correspondence and communication as needed.
• Respond, as needed, to portfolios, reader correspondence and proposals sent to NGT.
• Attend Coverage Plan meetings, take notes, and circulate information to the various editorial teams.
• Communicate with stakeholders and external audiences as needed.
Qualifications:
• Bachelor's degree preferred.
• At least 1 year of administrative experienced is a plus.
• Must possess excellent written and oral communications skills.
• Excellent interpersonal skills are required, with the ability to handle stressful situations and various personalities diplomatically.
• Proficiency in Microsoft Word (including mail merges), Excel and PowerPoint is required. Experience with social media, relevant publishing software and data systems is a plus.
• Must be motivated, highly organized, detail oriented, personable, reliable, self-assured, and able to prioritize work independently.
