Full Time Job
Provide administrative assistance and key organizational support such as:
• Manage and maintain executive's schedule (includes scheduling of all internal and external appointments) and outlook contacts.
• Manage phones; Answer phone calls and direct calls to appropriate parties or take messages.
• Prepare executive prior to all meetings.
• Manage and maintain industry conventions such as CinemaCon, ShowEast, ShowCanada, internal Sales Meetings and NATO meetings.
• Prepare agendas and make arrangements, such as coordinating conference calls, conference rooms, A/V needs and catering for meetings if applicable.
• Maintenance of marketing files, information and creative assets databases.
• Assembly, upkeep, shipping and tracking of marketing materials and provide details.
• Travel & Entertainment Expense reporting.
• General office management (mail, shipping, facilities oversight, equipment, etc)
• Department travel arrangements.
• Interacting with clients both in person and via email/telephone
• Database coordination
• Processing of invoices
• Overseeing various communications to affiliates
• Prepare purchase orders, reports, memos, letters, and other documents, using Microsoft Office and/ or other presentation software.
• Attend meetings/conference calls to record minutes.
• Compile, transcribe, and distribute minutes of meetings.
• Greet visitors and determine whether they should be given access to specific individuals.
• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
• Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
• File and retrieve corporate documents, records, and reports.
• Set up and oversee administrative policies and procedures for the department.
• Open, sort, and distribute incoming correspondence, including email, mail and faxes.
• Prepare responses to correspondence containing routine inquiries.
• Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executive.
• Provide clerical support to the department.
Qualifications:
• Bachelor's Degree
• Passionate about the Film Business and Entertainment. High interest in the online space, social media and entertainment content that is presented on new technologies.
• Extremely detail oriented and organized.
• Professional phone demeanor
• Strong computer skills. Proficiency in Microsoft applications including Excel, Word and PowerPoint. Familiarity with HTML a plus.
• Strong written and communication skills
• Microsoft Office including PowerPoint, Excel and Outlook is required. Experience with Adobe Acrobat, Apple (iPhone & iPad) required.
