Full Time Job
This position is responsible for assisting EVP of Alternative TV with administrative functions. Duties include answering busy phones and maintaining phone logs; scheduling and coordinating pitches, meetings and appointments; typing correspondence; preparing materials and notes prior to meetings; prepare reports; processing expense reports; tracking all submissions and pitches; maintaining and ordering department supplies; interacting with Sr. Management, creating materials for development meetings and presentations, and performing other duties, as assigned.
Responsibilities
• Specific duties include answering and rolling calls, scheduling, coordinating and maintaining appointments/meetings, maintaining files, booking travel arrangements/reservations, and coordinating all other special projects.
• Oversee a high volume of incoming pitches and creative materials and contribute to the evaluation of the show concept for green light approval.
• Create presentations and documents using Powerpoint and Keynote.
• Act as liaison with other internal departments and external contacts to execute assignments and represent EVP in a professional and efficient manner.
• Use data and research to create and prepare presentations, reports, and grids on behalf of the department for Sr. Management.
• Keep current on company projects, events, and issues and provide updates to supervisor.
• Watch and track current competitive shows.
• Provide key insight into social and digital trends.
• Coordinate travel arrangements (domestic and international) and other administrative duties (i.e. processing travel and expense reports, filing, etc.)
• Serves as back-up to other administrative assistants when necessary.
• Assist with departmental projects and events as needed.
• Provide personal assistance on various projects and activities.
Qualifications:
• BA/BS Degree.
• 2-3 years as an assistant with entertainment agency, production or studio experience required.
• Team-player who operates in a fast-paced setting.
• Understanding of how to prioritize and respond accordingly to changing business needs.
• Excellent communication and follow-up skills needed.
• Ability to multi-task in fast paced environment.
• Proficiency in Microsoft Office Suite, Outlook, Advanced Excel, Powerpoint, and Social platforms.
• Professional and friendly demeanor.
• Demonstrated self-starter with the ability to organize and establish administrative procedures independently, draft correspondence and reports, and work under pressure.
• Ability to handle confidential information and interact with high-level executives a must.
• Good typing skills and the ability to take dictation or fast notes is needed. A professional phone manner and good interpersonal skills are required.
• Office coverage requires extended work hours – must be available to work overtime.
