Full Time Job
The Coordinator role oversees the day-to-day administrative and office management responsibilities for the Studio's Global Operations Department. The individual receives numerous phone and email inquiries and needs to be solutions-oriented, with the incumbent able to deal with a wide variety of issues, questions, and tasks concurrently. This individual coordinates world-wide travel and logistics for members of the security team with ever-changing priorities and travel plans.
Responsibilities:
• Assist Senior leadership with daily office administration and management including, but not limited to: the scheduling of meetings, the management of individual and department calendars, and managing/creating correspondence.
• Perform other general office administration in support of guard force and operations management as necessary.
• Produce creative and professional presentations, reports, and documents as required
• Handle Accounts Payables responsibilities for the department including the set-up of new accounts and coding of invoices.
• Oversee special projects for management as required; this could include studio sound stage tours and special lot events.
• Coordinate travel arrangements and expense claims for department staff.
• Coordinate procurement of supplies and equipment for the department.
• Prepare and distribute meeting agendas and take meeting notes/minutes.
• Answer telephones
Qualifications:
• Demonstrated Proficiency in Microsoft Office applications
• Essential: Word, Outlook, Excel, Access, PowerPoint and Internet Explorer
• Desirable: Visio and MS Project.
• Ability to learn new software systems quickly.
• College degree preferred.
• Experience in financial and accounts payable systems preferred
• 5 years office administration experience; 2 years' experience in a Coordinator or Office Manager position.
• Entertainment industry experience is desirable.
