Full Time Job
The Scheduling Coordinator is responsible for coordinating all aspects of daily studio production crewing. Works with other schedulers and supervisor of the department to ensure all shows have necessary resources and personnel. Communicates with the technical crew of any scheduling changes. Must be able to demonstrate the ability to work as part of a team and in a fast paced environment. Provides administrative support to the production management team as needed.
Responsibilities
• Responsible for the day-to-day scheduling of production crews. Ensures proper staffing for all productions by gathering availability in advance.
• Ensures all studio technical positions are booked accurately and alerts management of potential conflicts, OT, 6th days, turnaround, etc.
• Adjusts staffing schedules to meet the changing demands of program schedules and production needs.
• Works in a high paced environment subject to multiple changes that require immediate attention and accuracy.
• Confirms crew arrival times and confirms break schedules for each studio on a daily basis.
• Must learn or be knowledgeable of union contracts. Experience ScheduAll highly desired.
• Updates electronic schedules daily. Handles posting of weekly schedules, per CBA.
• Follow up on daily schedule changes, facility usage, and personnel scheduling with Scheduling Supervisor and/or Production Management.
• Responsible for retrieving timecards. Ensures coding is correct on timecards prior to production manager's approval. Provide copies of time cards to employee if they have been modified.
• Creates operational information packets on a daily basis.
• Maintains contact information for all crew in electronic scheduling system. Prepares & submits new hire paperwork as needed.
• Creates operational information packets on a daily basis.
• Ensures stages and productions have adequate office supplies, time cards & craft service.
• Places local IATSE calls & contacts Local union for open calls.
Qualifications:
• 2-3 years' experience working in a television studio or studio production environment preferred
• 2 years of ScheduAll experience highly desired
• Must be able to communicate with all levels of management
• Must be detail oriented, have the ability to work flexible shifts and is a self-starter
