The Post Production Coordinator provides daily hire union personnel and interface directly with various client groups. They schedule proper technical coverage for all FOX Sports Post Production needs including FBC & FS1 Production Editing, Sports On Air Promos, Sports Graphics, and our other Sports business partners. They schedule, track and support over 400 daily hires from two different unions, over 50 rooms and 100 workstations.
Responsibilities:
• Create schedules based on preliminary templates or show requirements. Schedules change from week to week and day to day: adjust schedules in order to accommodate the needs of the clients and the availability of the technical personnel & resources to ensure proper coverage. Input schedules into ScheduAll and create schedules for all clients at least two weeks out. Post schedules for NABET and IATSE personnel maintain and update shared documents, get approval of Paid Time Off and update ''not available'' of daily hires. Schedule over 400 daily hires from two different unions, in over 50 rooms and 100 workstations. Ability to understand union contracts and recognize the impact of proper scheduling, including Paid Time Off and ''Not Available'' time, is essential. Double check schedules for errors and/or duplicate entries. Also work with Engineering, Plant Ops, IT, Telecom and EICs and attend meetings to get latest information.
• Communicate schedules to technical personnel and clients via calls & emails, and confirming availability of technical personnel. Communicate union personnel schedules and availability to different client groups and update clients of any changes to original schedule. Communicate any client changes to union personnel as needed. Liaison between client and union personnel. Clients include FSMG Production, On-Air Promo, Graphics, News, Highlights, New Media, etc. Supporting Operations in preparing budgets and forecasts for distinct areas within FOX Sports.
• Immediately address shift changes when people call out or run late. Provide additional last minutes coverage based on client requests. Carrying a smart device over the weekend and before/after hours to respond to changes is required.
• Interact with daily hires and communicate schedules or operational needs/concerns on occasional visits during workday. Receive and communicate operational requests and/or needs the technical personnel or the clients may mention during these visits.
• Input work order for billing, tracking and scheduling. Match timecards to work orders to track overages. Assist in tracking of billable clients.
• Ordering of supplies, excellent client service, positive attitude and ability to communicate to peers, clients and management, ability to multi-task and work under deadlines and time constraints is essential.
Qualifications:
• Post Production experience in a Broadcast, Studio or Post House environment preferred. Undergraduate degree in TV Production, Broadcasting, Communications, Engineering or Business Administration preferred or equivalent experience in television Post Production of 3 years minimum. Excellent computer skills and solid understanding of the entertainment industry.
• Excellent written and interpersonal skills and ability to interact with all levels of people is essential. Good positive attitude. Must be adept at handling multiple clients.
• Ability to perform basic accounting functions. Strong trouble shooting and problem solving skills to effectively resolve issues. Need to have the ability to anticipate client needs/concerns and act quickly and properly.
• Candidate must be proficient in Windows and Mac operating systems, as well as MS Word/Excel/Outlook. Knowledge of ScheduAll preferred.
• Must possess the ability to work in a fast paced, dynamic, demanding Post Production and live TV Broadcast operation. Must be able to work independently, relate well to people and know when to use diplomacy. Candidate must be able to multi-task, prioritize and work well in a stressful environment while maintaining a positive attitude. Must be willing to work days, nights, weekends and holidays. Will need to carry an on-call pager/phone and/or smart device.
