Full Time Job
The FOX Networks Distribution department is seeking an Assistant to provide general administrative and sales support for the Los Angeles office of the Coastal Region.
Responsibilities
• Provide general administrative support for the Southwest region, including:
• Managing phone lines and email/fax/copy correspondence (including responding to consumer and affiliate programming inquiries)
• Managing travel arrangements and conference call set up, as needed
• creating, processing and tracking invoices (including working with Fox Accounts Payable and external vendors)
• Creating, touching-up and distributing meeting agendas, meeting minutes and monthly reports
• Inventorying and mailing premiums, sales materials and marketing kits (may include some heavy lifting of 10-15 lb boxes)
• Creating and maintaining files (hard and soft copies)
• Ticket requests (Spotlight TMS), tracking, distribution and suite catering
• Maintaining and updating databases (MEDEA), Excel spreadsheets and PowerPoint presentations
• Ordering supplies, furniture and equipment
• Provide sales support for the Los Angeles Directors and other members of the region, as needed, including:
• Coordinating and scheduling meetings
• Meeting preparation and the assembly of presentations and materials
• Creating travel expense reports
• Letter/memo writing
• Creating and submitting launch forms (including gathering affiliate and network information)
• Communicating launch form information with technicians, NMC and business affairs
• Verifying system launch dates and subscriber numbers (involves calling and emailing affiliates)
• Submitting and tracking contract request forms
• Managing the national promotions affidavit collection process (involves calling affiliates)
• Special projects (including annual planning meetings and researching affiliate websites and channel line-ups)
• Mailing ad exclusivity notifications
• Updating and maintaining contract files and binders
• Updating monthly launch recap and carriage grid reports for SOD as needed
Qualifications:
• College Graduate preferred
• At least one year of administrative experience preferred
• Good verbal and written communication skills, as well as good interpersonal skills, are required
• Must be able to manage multiple projects and prioritize tasks to maximize efficiency
• Strong knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Outlook and Explorer are required
• Good organizational skills and attention to detail are required
• Must be able to multitask and work effectively under changing priorities and daily time constraints
