This position serves as Executive Assistant to the Executive Vice President (EVP) of Travel. The Executive Assistant will perform a variety of administrative duties in support of the EVP and will oversee the personnel and administrative functions of the Travel department. The Executive Assistant must enjoy working within a large, entrepreneurial environment that is results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, have strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a balance among multiple priorities. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Responsibilities
• Administrative support to EVP: manage an extremely active calendar, schedule meetings and conference calls; create and update PowerPoint presentations; coordinate workflow; organize special events; attends designated meetings and takes and transcribes minutes; responds to requests; compose and edit correspondence that is sometimes confidential; distributes correspondence, circulates information, etc., to other staff as needed; arrange complex and detailed travel arrangements; provide any additional support to the EVP as needed
• Department support: Assist in the daily management and operation of the department; manage inventory of office supplies; act as a liaison with other departments and outside agencies; produce reports to department staff; help to organize conferences and meetings that sometimes involve a large number of attendees or complex arrangements
• Operations Support: Process invoices and departmental expenses; coordinate mailings and shipments for department; facilitate office moves and technology requests; and support department projects related to marketing, operations or guest experience, as needed
Qualifications:
• Bachelor's degree is highly preferred
• At least three (3) years of experience in an administrative position, with experience supporting executives is required
• Ability to work with and understand financial spreadsheets and contracts
• Proficiency in Microsoft Office (Word, Excel, Power Point) with an emphasis in creating PowerPoint presentations
• Self-starter with excellent oral and written communication skills with an ability to effectively manage multiple projects simultaneously
