As the Executive Assistant to the Chairman, the ideal candidate must be accustomed to supporting high-level executives, and have the ability to manage multiple tasks simultaneously in a fast-paced environment.
This opportunity should be viewed as providing invaluable experience to prepare for a future career as an entertainment and business executive. A successful candidate will function well under pressure and will effectively balance changing demands and a dynamic schedule.
The Executive Assistant will work closely with a partner assistant and the Chairman on a day-to-day basis. Additionally, the Executive Assistant will have an opportunity to build collaborative relationships with other executives and assistants throughout the company and the industry. A high level of professionalism and confidentiality is required.
Responsibilities
• Provide administrative support to the Chairman including calendar management, meeting planning, general office duties and greeting guests;
• Answer incoming calls and ensure that messages are accurate and delivered in a timely fashion;
• Prepare Chairman for meetings with high level executives/talent;
• Conduct web research and analysis for special projects;
• Create and manage databases and recurring reports;
• Stay up to date on news and industry current events;
• Coordinate meetings, activities and events;
• Work on special projects as needed;
• Other general office responsibilities as required.
Qualifications:
• An undergraduate degree is required;
• Minimum of one year entertainment experience (talent/sports agency or management company preferred);
• Must be a self-starter with the ability to prioritize, establish administrative procedures and work under pressure;
• Must be highly organized, detail oriented and a problem solver;
• Ability to handle confidential information and interact with high-level executives;
• Professional presence, thoughtful judgment and the ability to anticipate needs;
• Proficiency with Outlook, Word, Excel and PowerPoint;
• Excellent oral and written communication skills;
• Proficiency in Spanish is highly desired.
