Looking for an experienced, well-spoken, personable, forward thinking, and highly organized individual to assist in the running of the Executive Producer's office of an entertainment company based in Studio City, CA.
Position is ideal for an office /production or project manager with a highly organized mind and experience in various aspects of administrative and producing duties including: business affairs, production and development, scheduling, budgets, admin, human resources and more.
Must be easy going and efficient, with a good sense of humor, honest, hard-working, and possess a can-do spirit. Ability to wear many hats; a bonus if you have a biz school background or direct experience producing commercials, indie film, tv, or have worked on a busy production or development desk at a management office or talent agency.
Candidates should be five steps ahead of the task at hand, while calmly managing the minute-to-minute. S/he should be able to work independently, as well as take direction from the boss and our creative team assisting on a variety of tasks.
Job Responsibilities:
Be proactive. Be thoughtful. Be through. Take initiative. Follow through to completion, be accountable, communicate, help us put better systems in place. Project manage.
The tasks will vary daily and will include:
• Creating and managing daily and weekly schedules for the CEO and team.
• Arranging meetings and travel
• Assisting with creating PowerPoint presentations for advertisers and investors.
• Managing timelines and tasks with deadlines.
• Coordinating production of websites, video and budgets.
• Overall assisting to keep things running smoothly and efficiently as the company expands, and staffs up from a small start up to a multi-million dollar production company and consultancy firm for talent and advertisers.
• Be adept at finding answers - be able and willing to perform deep research to support creative thesis and aid the team in landing development and sales opportunities.
• Track spending and create efficient and effective systems to support the company's goals and timelines.
• Manage your time and projects effectively.
• Be a pleasure to have around. We want a leader, someone upbeat, easy going, honest, kind, respectful, confident but not cocky, accountable, and CREATIVE, someone who will derive pleasure and value from doing something completely original.
• Office organization, including filing, creating Excel budgets, timelines, schedules, reports, keeping track of writers, assignments, and contracts for talent.
REQUIREMENTS:
2-3 years of agency, production, paralegal or human resources work.
• Exceptional telephone/email manner and an ability to build rapport with new contacts.
• Articulate, with a calm manner, and excellent communication skills.
• Excellent editing and writing skills.
• Experienced with Microsoft Office, Excel, database software, and CMS software.
• Sales, marketing, e-commerce, and/or PR experience a definite plus.
• Experience and background with the visual arts, visual arts organizations, fundraising, advertising, marketing, and PR all are definite plusses!
• Understanding of marketing and publicity (especially with online sponsorship campaigns).
• Knowledge of various social media platforms, a must.
Please note that we work out of an office in Studio City as well as out of a home office in Hollywood. We have two dogs, so the ideal candidate is comfortable being around dogs.
This is a full time, salaried position beginning immediately.
