Executive Assistant
Job Description: Flying Television, a celebrity booking and brokering firm, is seeking an experienced Executive/Personal Assistant for the company's President. This position supports the Company's President, personally and professionally, as well as maintains the office, located in The Flatiron section of New York City. This person will also participate in the execution of the celebrity events. Candidates must be organized, self-motivated, communicate effectively, be detail oriented,and able to problem solve quickly.
Salary: Commensurate with Experience

The ideal candidate will:
• Have diligent follow-through on every task given.
• Be a self-starter and great at multi-tasking.
• Be comfortable communicating/interacting with clients and other high level executives.
• Have excellent written and verbal communication skills.
• Be methodical when prioritizing responsibilities.
• Thrive in a small, intimate work environment.
Required Knowledge Skills and Abilities:
Minimum 2-3 years Administrative/Personal Assistant Experience.
Bachelors Degree.
Computer literacy with proficiency in Microsoft Word, Excel, PowerPoint (eBay, and Photoshop a plus)
Excellent time-management, organizational, and management skills.
Demonstrable problem-solving skills, ability to perform independently regarding account/team management.
Familiarity with celebrity pop culture, the luxury goods marketplace a plus.
Adaptability to manage multiple vendors and manufacturers both verbally and in writing.
Ability to develop and express creative ideas.
Ability to work as part of a team and a willingness to assist on other projects as needed or requested.
Key Duties & Responsibilities:
• Reception/ General office duties
• Answer multi-line phones, monitor voicemails and messages, call forwarding, organize conference calls
• Handle and track all mail, messengers and FedEx (incoming and outgoing)
• Greet and manage guests, clients, and vendors
• Maintain neat and organized office space (includes client products and large talent gifting suite)
• Relevant front of house duties
o On-site at Events -duties:
* Check-in
* Talent Escort
* Gift bag distribution
• Track business expenses (Company based and reimbursable)
• Track Company-wide spending
• Internship program
o Recruit, train and supervise interns
• Filing and organization of client / event folders
• Update company-wide rolodex
• Maintain files on all employee including contracts, days off, health insurance and related documents
• Assist in recruitment, interviewing and hiring of new employees
• Executive/ PersonalDuties
o Track and organize personal and business schedule
o Book All CEO and Celebrity Travel
* Create travel budgets and itineraries (air, ground, Hotel, Meetings, Appointments, dinner reservations etc.)
• Track all company spending
o Includes petty cash, credit cards, store credits, refunds,etc.
• Track personal gifting
• Track and organize additional personal needs
o Includes home management, personal tasks assigned
• Placing, tracking, organizing personalorders
• Additional tasks assigned
