FIVE33 is a dedicated film marketing practice creating global campaigns for the world’s best-known entertainment brands. We are currently seeking an Executive Assistant to support the CEO based in our Venice Beach office.
We are looking for a special someone who can handle all of the CEO’s day-to-day administrative matters. Alongside these duties (such as taking minutes and action points, diary management etc.), you will engage in special projects, as well as create Keynote and PowerPoint presentations, and materials to support client meetings.
Responsibilities
-Anticipate the every need of the Executive and act accordingly
-Schedule meetings, prioritize heavy calendar, and perform other general administrative tasks to ensure smooth running of office
-Answer phones, emails, and mail; correspond appropriately and communicate messages
-Interact with both internal and external executives, assistants, producers, directors, as well as consultants to coordinate a variety of complex meetings
-Arrange travel schedule and all reservations
-Collate expense claims
-Organize, maintain and update all contacts and filing
Experience & Skills
-Music, fashion, film and pop-culture savvy preferred
-Proficient in Word, Excel, PowerPoint, Keynote and Outlook
-First-rate organizational and written skills
-Self-driven, able to take initiative and detail oriented
Required
-Minimum of four years administrative experience working in a similar role supporting a high-level executive in the film or entertainment industry
-Car with valid insurance
-Legally able to work in the US - we are not sponsoring work visas for this role
Preference will be given to candidates who live within close proximity to Venice Beach.
