PARTICIPANT SERVICES ASSOCIATE
DESCRIPTION
Film Musicians Secondary Markets Fund seeks a professional to join our Participant Services Department.
A fantastic opportunity for a detail-oriented professional with a strong working knowledge of the film, TV, and music industries. The Fund is a dynamic 501(c)(6) not-for-profit organization providing support to film musicians and the entertainment community worldwide by ensuring the collection, processing, and distribution of residuals generated by their talent and services.
The Participant Services Associate will field and respond to all Participant inquiries related to their accounts. These inquiries include, but are not limited to, specific film omissions submitted to the Fund. Duties include the data entry and record maintenance of Participant correspondence including, but not limited to, address/contact information, new musician package mailings, tax forms, direct deposit, Fund website registration, and related items.
Please note: This is an administrative position and not appropriate for someone seeking film, TV or music production work experience. Applicants with member services or similar customer service experience are encouraged to apply.
SUMMARY OF DUTIES AND RESPONSIBILITIES
• Maintain the database of Participant Film or Partial Wage Omission inquiries by log # assignment.
• Research missing contracts using sources including pension records, various databases, payroll companies, AFM locals and other related organizations, web research, and participant submitted records.
• Enter and process any film omission contracts confirmed via research.
• Create ''Internal New Use'' contracts for missing new use with approval of Fund Executive Director.
• Coordinate the request for missing session contracts with the AFM and the Pension Fund staff on behalf of Participant Services and Compliance Departments.
• Track and log maintenance of all received film inquiries.
• Work with Compliance and Imaging staff to process all New Use contracts provided by the AFM.
• Maintenance and data entry of New Use Contracts into applicable databases.
• Data entry/processing of New Use and other session contracts as well as updating/filing documents in preparation for annual Omissions distribution every September.
• Assist Participant Services Supervisor with the handling of all Participant status details.
• Stay informed of new music and film release information to facilitate research and contact with musicians.
• Respond to and handle any Participant inquiries related to individual account profiles.
• Update and process data entry for existing Participants and maintain Participant correspondence files.
• Research New Musician information in preparation for Fund's Annual Distribution.
• Respond to and handle Participant inquiries (by phone/email/in-person) regarding their unclaimed checks and prepare check reissue for approval by either Supervisor, Participant Services or Director, Participant Services.
• Assist Supervisor, Participant Services with preparing Participant bulk mailing projects or e-mail blasts and e-newsletters, including direct deposit and ''GO PAPERLESS'', New Musician mail-outs, etc.
• Provide back-up support in data entry of new film contracts for the New Films & Allocations Department.
• At fiscal year-end, assist Supervisor, Participant Services in working with other departments and personnel such as Accounting, ASD, Director, Participant Services Operations and Deputy Executive Director on facilitating Fund annual distribution issues regarding Participants.
REQUIREMENTS
• 2 years post high school education or equivalent experience
• Knowledge of the entertainment industry and a strong interest in film, TV, and music
• Proficient in data entry with high accuracy
• Proficient in basic numeric calculations
• Proficient in MS Excel and Word
• Excellent research, critical thinking, analytical and problem solving skills
• Must be well organized and capable of maintaining well organized files/records
• Must have integrity, honesty and an ethical mentality
