MANAGER, NEW FILMS/ALLOCATIONS
DESCRIPTION
Film Musicians Secondary Markets Fund seeks a professional to join our Participant Services Operations Department.
A fantastic opportunity for a detail-oriented professional comfortable with heavy data entry. The Fund is a dynamic 501(c)(6) not-for-profit organization providing support to film musicians and the entertainment community worldwide by ensuring the collection, processing, and distribution of residuals generated by their talent and services.
The Fund's Allocations staff ensures that residuals are accurately allocated and applied to corresponding film/TV titles, markets, and ultimately, musicians. The New Films/Allocations Manager oversees the work of the New Films/Allocations Associates, manages and distributes supporting data provided by contributing companies for allocations within the New Films/Allocations Department. Manager reviews data entry and work of New Films/Allocations staff to ensure work adheres to quality control standards. Manager works with Director of Participant Services Operations and Contract Compliance Staff Auditor to identify new films, identify anomalies or new patterns of reporting by contributing companies or in AFM ''B'' forms, and provide observations and recommendations to the Director of Participant Services Operations.
SUMMARY OF DUTIES AND RESPONSIBILITIES
• Oversee and manage New Films/Allocations Associates, including training, development, scheduling, goal setting and benchmarks for Department staff.
• Organize and assign work to be performed by staff, and monitor performance and quality of output. Review data entry on each check received.
• Identify and correct data entry errors.
• Reconcile contribution amounts entered in AS400 with Accounting Department on a monthly basis.
• Organize and prepare Allocations support documentation for data entry in AS400.
• Allocate checks according to the procedures of the New Films/Allocations Associates (i.e. preparation of cover sheets, posting to AS400, identifying payment information in AS400, data entry of check details).
• Research payments using various internal and online sources (i.e. FTS, IMDB.com, Epguides.com, etc.).
• Identify New Film/TV shows; provide information to Director and other Fund staff as appropriate.
• Assist Director with researching to locate New Films/TV session contracts; Research includes online references, Local 47 database, Local 802 website, and other AFM offices.
• Communicate with Contract Compliance, Accounting, Participant Services and Management to share information such as: New Films, New Employers, and New-Use.
• Verify, organize, and prepare session contracts for entry, and review data entry of session contracts by New Films/Allocations Associates.
• Identify new musicians to the Fund for follow up by Participant Services Associates.
• Organize and maintain filing (electronic and paper) system of current and past fiscal years.
• Track payments from contributors to identify large ''debits'' and other anomalies, and provide report and recommendations to Director of Participant Services, Deputy Executive Director, and Executive Director
• Review payments to identify discrepancies/misallocated titles or dollar amounts; provide analysis and supporting documentation to Director to correct/adjust errors.
• Maintain department spreadsheets as needed.
• Prepare regularly scheduled reports for quality control review, including Manager's observations and analysis for the information of the reviewer.
• Participate in New Films/Allocations Associate periodical reviews to facilitate ongoing development of staff.
• Facilitate data information collection for various projects as needed.
• Anticipate and identify future needs, potential efficiencies and improvements in processes and organization of the Department, and provide recommendations consistent with the Fund's overall priorities and activities to Director, Participant Services and Executive Director.
• Work with various departments, as needed, to ensure that deliverables are received in a timely manner.
• Other duties as needed.
REQUIREMENTS
• 1-2 years employment at the Fund and/or managerial and related work experience preferred.
• 2 years post high school education or equivalent work experience.
• Demonstrated consistent accuracy of work product.
• Above average attention to detail.
• Proficient in heavy data entry with high accuracy.
• Proficient in basic numeric calculations.
• Proficient in online research.
• Ability to identify problems and propose recommended solutions.
• Critical thinking and problem solving skills helpful.
• Proficient with PC applications, including MS Excel and Word.
• Knowledge of the entertainment industry and a strong interest in film, TV, and music.
• Must be well organized, detail oriented, and a self-starter.
• Capable of maintaining well-organized files and records.
• Must have integrity, honesty and an ethical mentality.
