LEGAL ADMINISTRATIVE COORDINATOR
DESCRIPTION
Film Musicians Secondary Markets Fund seeks a professional to join our Legal/HR Department.
The Fund is a dynamic 501(c)(6) not-for-profit organization providing support to film musicians and the entertainment community worldwide by ensuring the collection, processing, and distribution of residuals generated by their talent and services.
The Legal Administrative Coordinator works closely with the Fund's Administrative Counsel to support a variety of functions relating to the Legal/HR Department. This position is responsible for handling participant accounts with respect to gathering and cataloging information used to designate beneficiaries for the distribution of music residuals.
SUMMARY OF DUTIES AND RESPONSIBILITIES
• Communicate with third parties as they may relate to a deceased participant's estate: family member(s), executor(s), trustee(s), administrator(s), attorney(s), accountant(s), manager(s), agent(s)
• Collect and review estate-related documents (i.e., death certificates, wills, trusts, orders) to prepare deceased participant files for the establishment of beneficiaries
• Review and verify dates, signatures, and seals for estate-related documents, including: power of attorney, conservatorship, guardianship, and Uniform Transfer to Minors Act (UTMA) documents
• Prepare a variety of affidavits (i.e., collection of personal property, assignment, and disclaimer) for participants to notarize
• Verify, maintain, and update beneficiary card files (including digital files in AS400) as well as deceased participant files
• Prepare correspondence relating to the establishment of beneficiaries
• Respond to phone/email inquiries regarding beneficiary and other Fund-related matters
• Assist with various inquiries, including but not limited to: requests from government agencies (i.e., IRS, Franchise Tax Board, EDD, SSA, Child Support Services), and banking/financial institutions (i.e., employment/income verifications)
• Assist with subpoenas/other document requests, divorce matters, lien/levies, and garnishments
• Assist with drafting, reviewing, and revising contracts, applications, and other documents
• Assist with other Legal/HR Department projects, as assigned
REQUIREMENTS
• Bachelor's Degree strongly preferred
• 2 years related work experience preferred
• Strong interpersonal, verbal, and written communication skills
• Exceptional analytical, critical thinking, and problem solving skills
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), and Adobe Acrobat Pro
• Must be well organized, detail-oriented, and a self-starter
• Must have integrity, honesty and ethical mentality
ABILITIES/SKILLS
• Ability to keep and maintain confidentiality as well as handle sensitive matters with discretion
• Ability to work independently as well as in a team environment
• Ability to work with deadlines, and learn concepts quickly
• Ability to analyze and interpret documents
• Ability to effectively present information and respond to outside inquiries
• Ability to work on multiple projects simultaneously and prioritize workloads
• Ability to communicate with all levels of staff
• A positive attitude
