Eyestorm Productions is looking for a superstar Executive Assistant Office Manager to join our ranks. The successful candidate for this position will be comfortable working in a fast-paced environment in a production company experiencing rapid growth. He/she will be able to handle responsibilities of a diverse nature to establish, improve and support the company's paper flows, interface with bookkeepers, keep calendars of important due dates and other events for the CEO, Executive Producer, and the company, handle filing including the setup of paper and digital filing systems, prioritize emails and accept ''other duties as assigned'' as the company grows.
Key Responsibilities
Primary responsibilities: Performing general clerical duties to include but not limited to: photocopying, faxing, mail distribution, document scanning and filing. Coordinates and maintains records for staff office space, phones, company credit cards, company property, office security systems and office keys. Creates and modifies various documents using Microsoft Office.
Specific responsibilities:
Handling paperwork for new hires and freelancers. Keeping track of contract expiration dates and inputting freelancer engagements of Report of Independent Contractor(s) (DE 542) online.
Scheduling for the CEO and Executive Producer.
Setting up and maintaining project accounting.
Scanning documents for digital filing and setting up systems for same.
Maintaining a petty cash journal, reconciling disbursements and receipts.
Maintaining records of assets purchased and setting up an asset management system.
Opening and distributing mail and performing the receiving function for the office.
Ordering supplies and equipment as needed.
Processing the setup of new employees.
Serving as a resource for human relations procedures and employee handbook compliance understanding.
Keeping the facility neat and clean, managing the janitorial relationship.
Monitoring the functioning of office security systems and asset safeguards.
Maintaining time sheets for employees and work plans for freelancers.
Ability to reconcile Producers' Wrap Books.
Handles other duties as assigned.
Essential Skills:
Experienced in using Google Docs, Google Sheets and Microsoft Office products.
Experienced in the use of search engines.
Familiarity with bookkeeping systems.
A passion for organization and work accuracy.
Experience:
At least four years experience in clerical, administrative or accounting work. Production company office experience desirable. Applicants must be experienced in digital products including Microsoft Office, Mac OSX and Windows.

Education:
High school diploma, some college education in business or the digital arts desired but not required.
Additional Information:
The company offers paid holiday and time off benefits, in addition to disability, social security. There is a 90-day introductory period after which eligibility for time off becomes available. The company is currently looking in to expanding its benefit package this year to include health care benefits. The location is in the exciting Arts District of Los Angeles and is accessible to the major freeways and to many shops and eateries in the area. Little Tokyo is also nearby.
