OVERVIEW OF ROLE:
This position provides administrative support to the SVP of Business and Legal Affairs including but not limited to the tracking, organization and retention of all legal documents, calendar management, expense tracking and reporting and executing special projects as needed. The Legal Assistant also works in collaboration with the balance of the Business and Legal Affairs team, providing daily administrative support.
PRINCIPAL RESPONSIBILITIES:
• Responsible for drafting standard letters, simple amendments, and basic agreements at the request of and on behalf of the BALA department including the revision, proofreading and editing of redline documents
• Heavy contract tracking and follow-up, answering phones, managing distributions, outgoing and incoming mail, maintaining files and ordering/maintaining supplies, and sending correspondence as requested
• Create and update various spreadsheets, status reports, and charts
• Maintain a highly organized, efficient and logical filing system of all documents for working purposes and for archival purposes
• Organize meetings and book conference rooms for staff meetings/multi-party conference calls, maintain departmental lists, calendars and contacts
• Screen incoming calls for the department with a very positive attitude and high degree of professionalism, notifying team members of phone calls received in a timely manner
• Manage all travel arrangements and itineraries, prepare travel and expenditure reports, effectively prioritize the SVP’s daily schedule by coordinating appointments, and scheduling meetings among parties with demanding calendars
Basic Qualifications
SKILL REQUIREMENTS, EXPERIENCE AND EDUCATION:
• Undergraduate degree and/or paralegal certificate preferred
• At least 3 years of experience as an assistant, preferably in the entertainment industry/television production
• Advanced knowledge of Microsoft Office suite with emphasis on Excel; experience with document management software preferred
• Highly flexible and motivated, with an ability to work independently as well as in a team setting, maintaining superior judgment, discretion and confidentiality at all times
• Experience managing a highly changeable calendar with extreme tact and diplomacy is essential
• Well-organized and detail-oriented with the ability to multi-task, managing competing demands and focus on key priorities in a fast-paced environment
• Ability to read, analyze, and interpret legal documents with strong knowledge of legal word processing procedures
• Excellent interpersonal and communications skills across all levels of personnel and with external clients, responding appropriately to sensitive inquiries
• Problem solver – able to plan, take initiative, propose solutions and overcome obstacles
• Team player – works effectively with others with strong follow-through with a professional and positive attitude
