Position: Executive Assistant
Reporting to: VP Business & Legal Affairs and VP Production
Location: Beverly Hills, CA
Position Summary:
The Executive Assistant will provide professional, confidential support to the VP Business & Legal Affairs and VP Production. As a proven achiever and polished professional, you have exceptional time management and organizational skills, with the ability to successfully prioritize which needs and tasks are of more immediate importance. The successful individual will be resourceful with an energetic demeanor and a proven track of providing outstanding executive assistance. Besides providing individual assistance to each executive, administrative support to the Business & Legal Affairs as well as Production Departments is also an expectation.
Duties and Responsibilities:
• Answer phones, take messages, track calls
• Create and maintain business & legal affairs files
• Filing, copying and scanning as necessary
• Manage executive schedule (including meetings, lunches and conference calls)
• Maintain status log for development deals and long form agreements
• Assist with keeping large volume of deals and projects organized and prioritized
• Manage travel arrangements
• Research producer/crew availabilities/stages for our various productions
• Research and setup writer offices
• Review daily call sheets and production reports
• Organize travel on shows prior to production office being set up.
• Work closely with Toronto production department
• Assist in completing and submitting executive expense reports
• Project and additional clerical duties as needed
Qualifications:
• The ideal individual will be highly organized, able to manage multiple tasks under tight time frames, and a self-starter who is able to work both independently and function well within a team.
• The individual will demonstrate strong independent judgment and a high degree of interpersonal effectiveness to be able to deal with stakeholders across various levels both internally and externally.
• Demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating needs is essential.
• Relationship builder and able to interact respectfully and confidently with internal executives, executive assistants and external contacts across all professional levels.
• Ability to manage tasks efficiently and effectively for multiple executives who operate in different departments and territories; needs the ability to successfully prioritize while still completing assigned duties
• Demonstrate discretion and confidence dealing with highly sensitive matters.
• Prior business affairs /legal affairs experience a plus
Technical Competencies
• Exceptional in MS Office applications (Word, PowerPoint, Excel and Outlook)
• Strong organizational skills
• Excellent oral and written communication skills
• High degree of accuracy and attention to detail
