The role of the Sales Coordinator is to help drive consumer sales by providing high level support for the sales team/ sales management in both physical and digital channels.
Key deliverables and related tasks:
Executive Support
• Serve as first point of contact for the Executives (SVP of Sales, VP of Sales, and VP of Customer Marketing)
• Maintain up-to-date awareness of the Executives’ obligations in order to proactively assist and/or anticipate needs
• Answer all incoming calls; take and log messages as needed; ensure that messages are accurate and delivered in a timely fashion
• Maintain appointment schedule; planning, updates, and notifications as necessary
• Arrange all travel plans, including some international travel and occasional coordination of group travel
• Manage incoming mail and complete correspondence
• Process expense reports, ensuring compliance with company policy
• Process invoices for payment; resolve payment issues
• Create and maintain effective filing system
• Maintain database of the Executives’ contacts
• Liaise with other functional areas, including Finance, Marketing, IT, and Operations to ensure support of the Music Services function
Digital Development and Support
• Act as the main point of contact and liaison between EMI field sales and marketing reps, digital account managers, and global digital operations
• Respond to inquiries and interface with the digital teams
New Business
• Create presentations and ‘pitch decks’ in support of new business and digital opportunities
Special Projects
• Complete ad hoc projects and select administrative duties
• Prepare presentations in coordination with SVP and sales team, varying from large account presentations to routine upcoming release slides
• Coordinate sales presentations, meetings, and/or conventions
• Maintain digital partner contact information in a central database
• Facilitate upstreaming of information on all sales and marketplace activities internally and externally as requested
Balanced Relationships
• Communicate effectively and efficiently within the department, within EMI, and to EMI business partners and customers
• Demonstrate use of policies and practices, balancing customer needs with EMI priorities
• Develop and maintain cooperative relationships with other functional areas of EMI
Teamwork and Internal Standards
• Ensure departmental resources are aligned to achieve quality, efficiency, and timeliness of results in alignment with vision and goals of EMI
• Facilitate communication between home office, accounts, and field sales teams
• Respond to changes within and affecting the department; proactively alter priorities when feasible
• Employ best practices in support of sales policies and procedures
• Support adherence to internal standards throughout the regional sales organization
• Maintain commitment to continuous process improvement: efficiency, effectiveness, and currency
• Demonstrate the EMI success factors
Other Specific Requirements:
Essential
• Degree qualified or equivalent
• 1-3 years of business support experience
• High proficiency in Excel and PowerPoint; proficiency in Outlook and Word
• Strong internet skills
• Demonstrated experience functioning efficiently in an environment with multiple and shifting priorities and deadlines
• Demonstrated ability to work independently and efficiently with minimal supervision, confidently handling new tasks as they arise
• Strong verbal and written communication skills; the ability to communicate effectively with all levels of employees, management, and customers
• Strong interpersonal and teamwork skills, including adaptability, personal effectiveness, and the ability to establish quick rapport
• Strong organizational and time management skills, including prioritization and follow through
• Analytical and problem-solving skills, with the ability to make proactive recommendations and find/use resources
• Familiarity with and/or interest in new technology
Desirable
• Knowledge of and/or experience in the entertainment industry, especially the music business
• An aptitude for or experience with reporting systems such as Soundscan, Encore/BDS, and Insight
