The Executive Assistant will provide day-to-day administrative support to Vice President, Short Form Production and limited administrative support to the Executive Director Post Production and department.
Responsibilities
• Establish and maintain effective administration systems.
• Answer telephones and ensure messages are delivered in a timely manner.
• Maintain and coordinate Vice President's calendar.
• Schedule meetings and reserve conference rooms for the Executive Director.
• Prepare expense reports using SAP (internal web-based workplace), track and copy all payments, and reconcile all credit card bills.
• Prepare and finalize staff travel arrangements.
• Create and maintain accurate distribution lists for production paperwork including schedules, production books, call-sheets, staff and crew lists.
• Develop familiarity with all projects in production, including schedules and production company principals.
• Maintain and distribute weekly DCWW Short Form production calendar.
• Process crew, talent, and minor's paperwork; including filing and reconciling.
• Organize office filing, create folders, binders and filing system for Vice President. Maintain files or binders as needed and assist in maintenance of paperless inventory system.
• Order and maintain department office supplies
• Generate departmental POs for temporary staff and office supplies.
• Attendance at staff and development meetings as specified.
• Create and update resource binders, gather resource materials for department.
• Manage and maintain offsite property storage location and assets.
• Communicate regularly with all client assistants.
• Interface with Legal, Finance and other Production groups.
• Take responsibility for his/her continuous learning and professional development.
• Share responsibilities for floor duties with other assistants, such as restocking kitchen, setting up for meetings, etc.
• Complete special projects as assigned by Vice President, Short Form Production.
• Complete other assigned department projects.
• Local travel required; Night and weekend work necessary if assigned or if projects/duties require
Basic Qualifications
• Proficiency in Microsoft Word, Excel, Powerpoint, Outlook and Keynote.
• Proficient in creating presentation decks including charts and grids.
• Ability to source information through the Internet, reference materials, libraries
• At least one (1) year of Executive Assistant/office management experience supporting Executives.
• Two (2) years experience working in film/television production, post-production or related experience.
• Strong written and verbal skills, excellent organizational and time-management skills
• Self-starter, takes initiative, proactive

Required Education
• Bachelor's degree in media related field or equivalent work experience
