Full Time Job
The Administrative Assistant will be a key member of the team providing direct support to the CEO office, assisting with administrative needs as necessary and requested. The office of the CEO is a dynamic, fast-paced, and fun environment where someone sharp, enthusiastic, and capable of juggling many balls at once will thrive.
Responsibilities:
1. Share daily office shifts (including some non-regular office hours) to ensure CEO office is properly covered at all times.
i. Answer telephone, screen & route callers, take messages and maintain comprehensive phone log; respond to internal and external inquiries, and provide routine information within scope of authority.
2. Handle incoming mail; open and review immediately upon receipt; work with Manager to screen & prioritize incoming mail and ensure responses and/or distribution to the appropriate departments for action.
3. Assist in meeting preparation; i.e., room reservations, set-up and breakdown, catering and AV/IT coordination.
4. Maintain CEO office filing system; review, sort and file a variety of materials.
5. Assist with CEO meeting scheduling, travel arrangements, typing of CEO correspondence.
6. Handle charitable contribution requests; maintain tracking log and appropriate follow-up.
7. Maintain CEO Contacts database to ensure all information is updated; enter new contact information as necessary.
8. Assist with CEO invitation lists for Corporate events; maintain corporate premiums & gift supply
9. Coordinate, maintain and order departmental office supplies; ensure maintenance of office equipment.
10. Provide back-up assistance to other CEO staff members, and general office support such as copying and faxing. Function as administrative liaison to consultants.
11. Work on special projects and perform other related duties as assigned.
Requirements:
* Bachelors’ Degree, plus minimum of two years corporate experience.
* Strong computer skills and proficiency in MS Windows, MS Word, MS Excel, MS PowerPoint. Prefer experience in Lotus Notes.
* Candidate must be detail-oriented, and have strong organizational and administrative management skills.
* Candidate must be articulate and demonstrate strong interpersonal and relationship-building skills.
* Strong oral and written communication skills with strong attention to detail on spelling, grammar and punctuation.
* Candidate must know how to manage and transfer confidential material.
* Ability to work in a fast-paced environment. Able to assess priorities and anticipate needs before they arise.
* Ability to maintain a high level of professionalism and work in a senior-level corporate environment. Able to maintain composure and diplomacy at all times.
* Candidate must demonstrate initiative (with strong follow-through), resourcefulness and an ability to manage multiple assignments under tight and changing deadlines.
* Candidate must be a team-player.
* Must have the legal right to work in the US
