This position supports the DGA's executive in charge of diversity, with duties including answering phones, calendaring, scheduling meetings, working directly with diversity committee leaders, preparing presentations and confidential information for meetings, and expense reports. The position also works closely with other DGA executives and staff, DGA members, and external diversity partners representing the DGA in diversity and inclusion matters.
Duties and Responsibilities
• Provide administrative support: produce documents and correspondence, create and edit various forms, communications, presentations, and reports, as required.
• Manage calendars, arrange meetings, receive and greet guests, reserve meeting rooms.
• Maintain confidential contact information, screen department calls and manage messages.
• Reconcile and prepare expense reports.
• Interface directly with studio/network contacts, executive-level staff, diversity committees, and high profile DGA members.
• Assist with diversity committees (attend meetings, prepare minutes, track RSVPs, draft agendas, and reminders, etc.).
• Attend Guild related diversity related events and activities, as required.
• Some work in evenings and weekends will be required.
• Communicate in a professional manner in person, by telephone or e-mail.
• Handle confidential documents and information appropriately.
• Special projects.
Minimum Requirements
• Must be energetic and very proactive, highly organized, someone who welcomes a challenge and is able to work in a fast-moving, quick response, fluid environment and with limited day-to-day supervision.
• Minimum of 3 years of experience as an Executive/Administrative Assistant.
• Highly organized with prior experience supporting executives in a corporate setting.
• Demonstrated ability to use discretion, diplomacy and make sound judgments.
• Previous experience in the entertainment industry strongly preferred.
• A passion for entertainment diversity and inclusion issues.
• BA or BS degree is highly preferred.
• Strong skills in MS Office Suite (Word, Excel, Power Point); knowledge of proper formats for letters, proper grammar, spelling and the ability to compose neat, accurate correspondence as necessary.
• Excellent interpersonal skills with ability to deal with various personalities.
• Should be a resourceful person with a professional manner that is aware this position requires the strictest confidentiality due to interfacing with high level executives, committees, and members.
