Purpose of the job:
The Receptionist's principal responsibility is to receive callers, clients and visitors with enthusiasm, courtesy, and must have professional telephone etiquette. This role will also administer gatekeeper duties with a high level of professionalism. The Receptionist needs to be bright, energetic, have excellent judgment and be very detail-oriented.
Essential Functions/Responsibilities:
- Greets clients, vendors, tenants, employees from other locations and other visitors with a high degree of professionalism and courtesy
- Presents an appropriate appearance and demeanor in tune with the company culture, while maintaining a high degree of professionalism
- Answers incoming calls and directs those calls to the proper parties. Calls must be answered in four rings or less. Properly screen calls and filters out sales calls
- Works directly with security on campus access for visitors
- Assists with the tracking and distribution of parking passes
- Part of the Fire, Life, Safety team
- Researches and identifies the appropriate business units or persons for callers when it is not obvious from a provided list
- Maintains safe and clean lobby area. Reports cleanliness issues to OPS staff
- Assists and supports the Facilities and Operations Manager with special projects and campus projects
- Mails out company information as requested. Prepares and arranges for courier delivery with Shipping and Receiving personnel. Sends and receives scans/faxes. Manages and reports on all front desk deliveries
- Identifies telephone and computer system problems and immediately alerts the proper Systems personnel
- Provides administrative assistance such as typing letters, preparing reports, maintaining files and entering data into spreadsheets
- Processes all security badges including activating new hire ID badges, deactivating badges, and handling temporary badges
- Coordinates maintenance requests, moves, new hire training, parking, big events, holiday set ups, janitorial staff, security staff, shipping and receiving, purchasing and reception Drive-Ons as instructed by supervisor
- Assists with assignment of employee parking spaces
- Additional duties will be assigned as this role expands
Qualifications:
Education and/or Experience Required:
- High school diploma or GED required; Associate's degree preferred
- 4+ years experience as a receptionist in an entertainment, advertising or similar business environment
Skills, Abilities, Special Licenses or Certificate:
- Administrative computer software experience required (for example: MS Office, Google Apps, Database applications, etc)
- Exhibits superior verbal communication and phone skills. Excellent oral and written communication skills necessary
- Must be fluent in English and be able to communicate clearly
- Strong work ethic; diplomatic; team- and service-oriented; builds strong working relationships
- Consistently demonstrates professional demeanor, appearance and attitude
- Proven ability to remain calm under pressure; resilient
- Performs tasks with a sense of urgency and consistently meets deadlines; demonstrated ability to be flexible and adapt to an ever-changing work environment
- Able to appropriately handle confidential and highly sensitive material
- Assertive and resourceful; motivated; willing to ask questions and take initiative without direction
- Good record keeping and follow-up skills
- Self-motivated and hard-working
Working Conditions and Environment/Physical Demands:
- Office working environment
- Hours for this position are based on normal working hours but will require extra hours pending production needs
- Walking/bending/sitting
