Job Title: Executive Production Coordinator
Department: Features Management
Reports to: EVP/General Manager
Status: Non-Exempt
Status: Staff, Full-Time
Purpose of the job:
The Executive/Features Production Coordinator provides strategic administrative and departmental support to the Features and Executive departments.
The ideal candidate will be a self-starter, exceedingly organized, flexible, and highly adept at effectively navigating the challenges of interacting with a wide range of personalities involved in a studio production environment.
Essential Functions/Responsibilities:
-Serves as the primary scheduler/point of contact for all Features Department and Executive calendar needs
-Serves as back-up support for various studio calendars including, but not limited to, Conference Rooms, Screening Room, and Commercial Client Suites
-Greets and interacts with visiting executives and clients with business savvy and polish
-High levels of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
-Provides strategic support and preparation in dealing with internal meetings, Features and Executive clients onÂsite, as well as any relevant ongoing client needs
-First point of contact for both external and internal communications for EVP/General Manager (including answering phones)
-Acting, at times, as a liaison for EVP/General Manager and other members of Features Management
-Arranges travel schedule and reservations for Executive Management and Features Department as needed
-Provide day-to-day and ad hoc administrative support to the Features Department including, but not limited to, organizational spreadsheets, meeting notes, expense reports, and script management
-Coordinates and helps execute crossÂ-site and single-site studio events
-Presents an appropriate appearance and comportment in tune with the company culture, while maintaining a high degree of professionalism
-Additional tasks in support of senior management as needed
Education and/or Experience Required:
-Bachelor's Degree in film, marketing or related field
-Minimum five years experience supporting at the executive level
Skills, Abilities, Special Licenses or Certificate:
-Ability to apply superior problem solving skills to high pressure challenges and rapidly changing circumstances with flexibility, dexterity, professionalism, and emotional maturity
-Experienced at successfully handling executive support tasks with little or no supervision
-Excellent calendar management skills, including the coordination of complex executive meetings
-Must be computer literate with strong knowledge of Google Apps and MS Office
-Experience scheduling domestic and international travel arrangements for management
-Effective interpersonal communication and customer service skills
-Proven ability to interact effectively within and outside the organization
-Proven ability to deal with sensitive and confidential information
Working Conditions and Environment/Physical Demands:
-Office working environment
-Hours for this position are based on normal working hours but will require extra hours pending production needs
-Walking/bending/sitting
