dick clark productions, a diverse entertainment company and an independent producer of a wide range of network television programming including awards shows, specials, and reality series, is seeking an experienced Executive Assistant that will support the SVP Sales and Acquisitions, EVP International, and SVP Finance & Accounting/Corporate Controller.
The Executive Assistant will provide full administrative support and interface with the executives, manage calendars, coordinate internal/external meetings, answer phones, roll calls and manage phone log. Additionally, this position will facilitate complex travel arrangements and manage and create expense reports, maintain databases for media and corporate files and manage mass mailings.
Duties
• Ideal candidate will have strong writing, organizational, communication and time management skills as well as have the ability to prioritize and manage three desks.
• Position will liaise directly with various levels of executives, vendors, coordinate interdepartmental communication as well as help manage the communication within the department.
• The candidate will be responsible for coordinating publicity, press and marketing efforts for all international TV markets and festivals (NATPE, MIP, MIPCOM, etc.).
• Candidate will also oversee each department's administrative needs.
Basic Qualifications
• Excellent PC knowledge - Proficient in Microsoft Office Suite - Word, Outlook, Adobe Acrobat Pro or X (current versions - including conversions, form creation, and security), PowerPoint, and Excel as well as create and maintain presentation, database and spreadsheet files.
• Prior sales experience a plus
• Excellent attention to detail and follow-through skills
• Strong organizational and filing skills
• Excellent written, verbal and interpersonal communication skills to assure successful interaction with all levels of employees and external contacts
• Demonstrated ability to effectively and professionally interface with high level executives, clients, business associates, and employees
• Demonstrated ability to manage time wisely, prioritize effectively in a fast-paced environment, meet deadlines, and follow instructions.
• Ability to work effectively in a team environment
• Ability to handle confidential and sensitive information
• Ability to exercise good judgment and personal and professional discretion
• Ability to work with limited supervision and work well under pressure in a fast-paced environment
• Must be able to work extended hours and available to minimal travel throughout the year
• A self-starter with ability to anticipate issues and proactively problem-solve
• Proven experience in multi-tasking and working with multiple people and priorities
• Candidates must possess very strong organizational skills and be reliable, extremely detail-oriented, resourceful and able to anticipate needs
• Positive attitude and strong work ethic
• Ability to travel and work overtime as needed
Required Education
• Bachelor's Degree
Preferred Qualifications
• 3+ years of executive administrative experience, with proven success supporting executives and/or a senior executive team.
• Entertainment industry and/or production television experience is a plus.
• Serious interests in pursuing international TV distribution as a potential career a plus.
