We have an opening for a Freelance - Facilities Coordinator. This position will be located in Atlanta, GA.
Job Summary:
Will provide administrative support, including general office support, calendaring, expense reports, and travel. Will work closely with the VP of Operations, HR, IT, Security, and Finance Team. Must have a strong ability to work independently and use sound judgment.
General HR - Responsibilities:
• Work closely with HR and IT on all new hire onboards and all termination offboards
• Distribute, order, and/or track all new hire parking cards, MARTA cards, keys, alarm codes, ID badges, corporate credit cards, etc.
• Coordinate with new and existing employees regarding general set-up, time and attendance tracking, IT basics, payroll, benefits/discounts, employee self-service/UltiPro
Security – Responsibilities:
• Maintain Security Council documentation for facility security and future audits
• Assist with access control system. Coordinate employee security badge registration process with corporate security team and vendors
Parking/MARTA – Responsibilities:
• Coordinate directly with AmeriPark on all parking matters for ATL office
• MARTA Breeze card additions/terminations
Coordinate Travel – Responsibilities:
• Book travel for all Executives, producers, clients, and employees, including obtaining all required approvals and working with Company travel agency
Expense Card Approvals – Responsibilities:
• Review/Reconcile transactions and sign off on expense card transactions
• Work with Finance Dept and employees on expense card set up and aid in resolving discrepancies
IT Service Desk/Help Desk – Responsibilities:
• Communicate with IT to resolve issues regarding distribution lists, software needs, passwords, new user onboarding, phone/voicemail issues, and more
Assist with Special Projects as Needed – Responsibilities:
• GA Film & Video Sourcebook, Update Employee MPAA Security Presentation, Event tickets for Clients, ATL Voicemail changeover. etc.
Job Requirements:
• High School Diploma
• Ability to work independently and contribute effectively to the team
• Available to work overtime on evenings and weekends as needed
• Strong organizational skills with ability to prioritize and multi-task
• Excellent communication skills
• Proficiency in Microsoft Word, Excel and Outlook.
• Knowledge of general office practices, procedures and equipment.
• Basic knowledge of Xytech and NOVAtime is a plus.
