We currently have an opening for an Executive Assistant. This position will be located in Burbank, CA.
SUMMARY:
Will provide support and serve as primary point of contact for the Executives. They will act as liaison between the key executives and employees. This will include calendaring, expense reports, travel arrangements, scheduling meetings, preparing presentations and confidential information for meetings. Must have a strong ability to work independently and use sound judgment.
RESPONSIBILITIES:
• Provide a full range of administrative support.
• Manage a very busy calendar and arrange meetings in multiple time zones.
• Arrange both international and domestic corporate travel and meetings by developing itineraries and agendas; booking other transportation; and arranging lodging and meeting accommodations.
• Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation from others; monitoring progress; problem-solving; and making adjustments as needed.
• Interface directly with Executive level customers and suppliers.
• Handle confidential documents and legal documents appropriately.
• Prepare correspondence and presentations as required.
• Answer telephone, screen calls and email, and manage messages.
• Reconcile and prepare complex expense reports.
• Improves quality results by studying, evaluating, and re-designing processes; implementing changes.
• Enhances Executive's and DESG's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
• Other duties may be assigned as necessary.
REQUIREMENTS/QUALIFICATIONS:
• BA or BS degree preferred.
• Minimum of 5 years of experience as an Executive Assistant supporting EVP and above executives.
• Must have extensive experience with international travel, expense management and creating of MS PowerPoint presentations.
• Must be energetic and very proactive, someone who welcomes a challenge and is able to work in a fast-moving, quick response, demanding, flexible environment with limited day to day supervision.
• Must be well organized, flexible and able to work under pressure.
• Ability to interact with a wide variety of personalities.
• Must have excellent verbal and written communication skills.
• Should be a resourceful person with a professional manner that is aware this position requires the strictest confidentiality due to representing a high level of management.
• Knowledge of proper formats for letters, proper grammar, spelling and the ability to compose neat, accurate correspondence.
• Ability to work independently under general instructions.
• Demonstrated ability to use discretion and make sound judgment.
• Accuracy, productivity and dependability are important attributes.
• Must be able to build and maintain effective relationships.
• Experience managing complex travel and business expenses and reconciliation including foreign currency conversion, etc.
• Strong skill in MS Outlook, Word, Excel and PowerPoint required.
