We have openings for two Client Service Representative/Receptionists. These positions will be located in Burbank, CA.
Job Summary:
This position provides service for both the clients and employees. Answering the phone in a prompt and courteous manner is extremely important. The cleanliness and organization of the front office, kitchen area and lobby must be maintained at all times. The ability to politely greet and interact with clients will demand strong interpersonal skills along with the desire to build lasting relationships.
Job Duties:
• Answer multi-line switchboard directing calls appropriately and taking accurate messages.
• Screen calls appropriately and announce if necessary.
• Offer alternatives to caller if party is not available.
• Keep track of clients in the facility and where they are located during sessions in order to facilitate incoming calls to them as needed, learning their names so as to address them correctly.
• Be aware of the front lobby at all times so that anyone that enters is greeted verbally or by a smile.
• Ensure couriers and delivery people are stopped and directed to the vault.
• Plan and purchase food for client breakfasts and snacks.
• Maintain and stock kitchen with supplies.
• Assist in preparation for client luncheons and meetings.
• Accurately order meals for clients and employees and keep track of receipts for Accounts Payable and Billing Department.
• Monitor the bays for overall look and upkeep as well as maintain office supplies for client and talent use.
• Assist Office Manager with duties as needed.
Job Requirements:
• 1-2 years previous receptionist/customer services experience.
• Basic Word and Excel
• Strong administrative skills.
• Highly organized and strong attention to detail.
• Ability to learn Xytech basics including schedule view.
