We currently have an opening for an Office Manager. This position will be located in Hollywood, CA.
Job Description
The Office Manager is responsible for providing a world-class experience for guests and employees of our Hollywood mixing facility. The Office Manager oversees Hospitality to provide meals, beverages, and snacks for our clients, as well as Facilities and Security
to ensure the studio is a clean, productive, and positive workplace environment for all.
Primary Responsibilities
• Supervises Hospitality Lead, Hospitality Coordinators, Porters, and Security Guards
• Maintains a clean, comfortable studio fit for high-end clients and discerning employees alike
• Manages food, beverage, seasonal décor, and entertainment programs
• Interacts with clients to build positive rapport and retain their patronage
• Works with Account Directors, Managers, and Coordinators to anticipate client needs and deliver exceptional service for clients, employees, and their guests
• Plan or venue-coordinate employee/client events and administer gift-giving
• Manages onsite, non-technical facilities, including infrastructure, grounds, pest control, and studio amenities
• Liaises with Facilities (Shared Services) personnel to organize/prioritize/track projects and coordinate services from outside vendors/contractors
• Liaises with Servicon Janitorial to ensure upkeep and maintenance of studio
• Liaises with Securitas Security Services to ensure the safety and security of studio
• Works with vendors to maintain and resupply office machines (copiers/vending/coffee/water)
• Maintains par level inventory for office, break room, and production supplies
• Conducts weekly walkthrough of studio to look for preventative maintenance
• Maintains emergency preparedness in conjunction with HR and Health & Safety
• Works with Account Directors, Managers, and Coordinators to reconcile receipts
• Assists Hospitality during busy periods and covers during absences
• Assists Hospitality in preparing rotating selection of daily meal and snack options when needed
• Assists Hospitality in preparing a range of coffee and other beverages when needed
• Assists Hospitality with stage/bay/lounge set-up and clean up as needed
• Assists Hospitality with front desk coverage as needed.
• Maintains kitchen and lounge areas with Hospitality and Porters as needed
• Supports VP, Worldwide Audio, Director of Audio, and Senior Studio Manager with special projects as needed
• Other duties as directed
Qualifications
The ideal candidate will possess the following knowledge, experience, and skill-set:
• BA or BS degree preferred
• 3-4 years of experience in a supervisory role preferably in retail or other guest-facing environment
• 1-2 years of experience with food service and/or hotel hospitality
• Culinary experience and enthusiasm highly desired
• Proven ability to interpret diverse needs and prioritize tasks in order to accomplish goals
• Current valid California driver's license, vehicle insurance, and reliable transportation is required
• Must be service oriented, with the ability to exhibit professionalism with high-profile clientele
• Capable of prioritizing departmental needs and managing time during busy periods
• Ability to transition between kitchen-based and administrative tasks
• Able to be stand for extended periods
• Must be comfortable with repetitive hand motions
• Ability to lift/pull 35 lbs.
• Ability to work a flexible, rotating schedule that may include early mornings, evenings, and some weekends
• Mac proficiency preferred and should have a working knowledge of Word, Excel, and Outlook
