We currently have an opening for an Executive Assistant. This position will be located in Burbank, CA.
Job Summary:
Stereo D is currently looking for a diligent and resourceful Executive Assistant to join our Burbank, CA Production studio. This role will provide Executive Assistant level support to our CCO.
• Answer and manage incoming phone calls, organize messages and roll calls for CCO. Back-up President's assistant, as needed.
• Manage and maintain schedules, including arranging and coordinating meetings both internal and external, involving multiple time zones.
• Coordinate worldwide conference and WebEx calls requested and involving executives.
• Coordinate all travel, accommodations and ground transportation for CCO and other executive production team.
• Attend meetings upon request by team to take action notes and follow-up on action items.
• Organize catering needs for meetings or other events hosted by the CCO.
• Manage the completion and submission of any and all necessary Visa application paperwork and passport requirements for COO and production executives and additional staff as needed.
• Responsible for compiling, maintaining and ensuring proper sign-off of executed documents in a timely manner.
• Oversee compiling and reconciling all credit card purchases for CCO and other appropriate parties.
• Additional projects as needed such as liasoning between vendors, registering and managing travel for yearly conferences.
Requirements
Qualifications:
• 2-5 years experience as an Executive Assistant in an entertainment environment.
• Strong communication skills and professional demeanor.
• Ability to be a gatekeeper and remain confidential at all times.
• Exceptional multi-tasking skills and ability to remain calm under pressure.
• Microsoft Office proficiency mandatory, comfortable on a MAC or a PC.
• Familiarity with Post Production and Visual Effects industry a plus.
